Tips & Tricks for Using ZEP

In this article, you’ll find tips on general usability features in ZEP Clock that can help make your work easier and more efficient.

Profile

Under Profile › Settings › General, you can make the following adjustments:

  • Set Language

    • A custom display language that differs from the ZEP default language can also be configured here.

  • Profile Picture instead of Abbreviation

    • The profile picture can be changed via "Edit Details" and by clicking on the image.

  • Permissions within ZEP

    • Here you can see which permissions you have within the company account and which features are available to you accordingly.

You can access your profile by clicking on the grey circle displaying the initials of your first and last name, or your profile picture, in the top right corner of ZEP.

History

The small clock icon to the left of your profile circle shows your recently visited menu items as well as recently viewed projects, clients, employees, and documents. Clicking on an entry in the history takes you directly back to the corresponding menu item, including the last sub-menu visited, with your previously selected settings preserved.

Date Inputs

Dates can be entered into a date field using the keyboard or via copy & paste.

Once a date field is focused, a date picker (calendar view) opens, displaying and highlighting the currently entered date.

  • Clicking "Today" sets the current date and closes the date picker

  • Clicking the month in the title bar switches to the month selection for the current year

  • Clicking the year in the title bar of this view switches to a year selection

  • Clicking the year in this view switches to a decade selection

Tips for Project Time Tracking

Quick Access to the Time Entry Screen

Clicking the ZEP icon (top left) takes you directly to the Project Times page.

Types of Time Entry Views

ZEP offers various views for time tracking, which differ fundamentally in their layout:

  • Calendar (work week, week, and day)

  • Agenda

  • Form

Depending on the view, there are different ways to speed up time tracking.

Quick Time Entry

Depending on the time entry view, there are different shortcuts for logging time:

In the Calendar and Agenda views, you can press "+" on your keyboard to open the time entry screen directly.

  • Calendar:

    • Use drag and drop with your mouse to select time ranges, similar to Outlook

    • Existing time entries can also be moved using drag and drop

    • The three-dot menu on the current day offers various shortcuts (show total time, insert break, copy day)

    • The magnifying glass icon on the right side of the screen allows you to adjust the scale

  • Agenda:

    • The double arrow icon allows you to toggle the sort order between ascending and descending

    • The three-dot menu on the current day offers various shortcuts (show total time, insert break, copy day)

    • The stack icon allows you to copy time entries one-to-one to a different time period

  • Form:

    • Quick date selection using quicklinks above the date field for the last few days up to today

    • Clicking on a day in the project time list pre-fills the date automatically

    • ZEP pre-fills the time fields accordingly:

      • Start time:

        • Option 1: If no time entry exists yet, the start time is set to the time configured in the settings. If no start time has been configured, ZEP automatically defaults to the current time.

        • Option 2: If a project time has already been booked, ZEP defaults the start time to the end time of the last time entry for that day.

      • End time

        • ZEP pre-fills the end time with the current time (until now)

    • Scrolling the mouse wheel over any time field allows you to adjust the time

    • The "Now" quicklink sets the current time

    • Two shortcuts for faster time entry are hidden behind each day in the project time list. Hovering over the top edge of a day reveals a bar that pre-fills your time starting from the last entry. Clicking the bottom edge allows you to add an entry before the first time booking of the day. See the image (...) for a visual reference.

    • The green arrow in the project time list copies everything after the arrow into the entry form — meaning any existing time entry can essentially act as a favourite

    • The coffee cup icon allows you to insert a break or gap into an existing time entry, splitting it accordingly

    • Clicking on a gap between two time entries pre-fills the start and end time with the times of that gap

Tables and Configuration in Reports

Scrolling Wide Tables

If a table is wider than the available space in the browser, a grey area is displayed on the left and right sides, spanning the full height of the table. These areas are always clickable to scroll left or right, and can also be identified by the hand cursor when hovering over them.

A table can also be scrolled horizontally using Shift + mouse wheel.

Reordering or Hiding Table Columns

Using the configuration icon displayed in the top right corner of a table, you can hide unnecessary columns or permanently change the column order.

File Formats for Reports

For almost all reports, you will find a format selection dropdown next to the "Run" button. In addition to the online preview, you can select file formats in which the report will be generated. Depending on the report, standard formats such as Word, Excel, or PDF are supported.

Running Reports Automatically

Once you have selected a file format other than the online preview, many reports offer the option to run in the background. Using this button, you can schedule the respective report in ZEP — in your selected format and with your chosen filter criteria — either as a one-time or recurring task, and have it sent to yourself, team members, or external email addresses.

Logging In & Out of ZEP

Login

Open ZEP in your browser and sign in with your username and password. Only registered employees can log in, and only within the period from their start date up to and including their end date.

If Single Sign-On (SSO) is enabled in your account, the standard ZEP login may be disabled. In this case, it is essential to ensure that the OAuth configurations are renewed regularly.

Logout

The logout option can be found in the grey circle displaying the initials of your first and last name, or your profile picture, in the top right corner of ZEP.


Hovering over this icon gives you the option to either access your profile or select Logout.

The login page will then be displayed again, ensuring that no one can edit another user's data without knowing the corresponding password (exception: administrators).As long as ZEP is open in your browser and your device is not in standby mode, you will remain logged in. For security reasons, always make sure to log out of ZEP when you are done.

Depending on your browser settings (when using ZEP in a browser), you may be logged out automatically if the tab in which ZEP is open has been inactive for a set period of time. Please check your browser settings accordingly. Common settings to prevent this automatic logout can be found under the terms "Sleeping Tabs" or "Inactive Tabs".

Search and Help Functions in ZEP

Global Search

In the top right corner, next to the favourites icon, you will find the global search function in ZEP. Click the search field with the magnifying glass icon and enter one or more search terms. ZEP will list all matching results. Optionally, you can continue the search in the online help.

Shortcut to open the search function: Shift + Ctrl + F

Search on Sub-pages

In addition to the global search field, many sub-pages have their own search field. Here, you can use the % symbol to perform a wildcard or placeholder search. In this context, the % symbol represents unknown characters within a text value, making it useful for finding multiple entries with similar but not identical data. This is particularly handy when, for example, you are in the project management section and can only remember part of a project name.

Help Icons

The ? symbol, available in many areas of the ZEP interface, provides specific help for the relevant section when clicked. You will also find this symbol next to the search bars on sub-pages, where it offers guidance on relevant search terms and how to refine your search.

Help Center

In the bottom right corner of ZEP, you always have access to our complete Help Centre, which you can navigate via:

  • a search function

  • suggested articles

  • the full article structure

A help chat is also available, initially handled by an AI agent. If your question cannot be resolved this way, you will be forwarded to our personal support team, who will get back to you as soon as possible.
