ZEP Clock App

In this article, you will learn everything about the ZEP Clock app. The app is intended for the ZEP Clock product line.

With the free ZEP Clock app, you have the option to clock times and record absences as well as travel expenses using your mobile device. The app can be used on both iOS and Android devices.

Login to the ZEP Clock App

After downloading the ZEP Clock app, you must first log in. The ZEP Clock app offers two different modes: single-user and multi-user mode.

The single-user app is intended for individual user access. The multi-user app simulates a tablet/terminal when multiple users need to log in on one device.

  • In single-user mode, one user logs in to record their own times and absences.

  • In multi-user mode, multiple users are displayed and can clock their times. This can be used, for example, on a tablet that is available on-site for all employees and simulates a terminal.

The available functions therefore differ depending on the login:

After logging into single-user mode, the following tabs are available:

  • Dashboard

  • Times

  • Absences (only with the "Absences & Overtime" module)

  • Receipts (only with the "Travel Expense Management" module)

  • More

The available tabs in your ZEP Clock app depend on your booked license. You can adjust this at any time in our self-service tool.

In multi-user mode, on the other hand, you will see the different tiles of the employees to clock in and out.

Single-User mode

Single-User Login

Single-user login is performed individually by each user. There are different ways to do this.

Login with URL, username, and password

To log in as a single user, select the single-user login option.

You will now be prompted to enter the URL. Enter your ZEP URL.

The ZEP URL always follows the same structure: https://www.zep-online.de/zepmusterfirma – where "musterfirma" is replaced with your individual company abbreviation. You can find your specific URL in your browser’s address bar when you are logged into ZEP, or under Profile > Interfaces > Mobile Apps.

You can now log in to the app using your username and password.

Login with QR Code

To log in even faster, you have the option to use a QR code. If you are already logged in via the web browser, you can access the "Interfaces" section via "My Profile" in the top right corner. There you will find the QR code required for login, which can be scanned with your phone.

Now select the QR button at the bottom of your phone screen and scan the QR code. The URL will then be prefilled in the app. After that, enter your username and password for the web browser.


Once you have successfully logged in, the "Times" tab will open.

"Times" Tab

In the Times section, the user can clock in and start their working time. The working time can be ended using the "Stop" button.

The overview displays the daily total and all previously recorded times.

Using the "+" button, the user can manually enter a complete working time.

Activities

Depending on the settings in ZEP and the modules used, you can also assign activities and work locations when recording time. You can also select travel activity.

To be able to select these settings in the ZEP Clock app, the activities must be configured in the ZEP web browser. This can be done via the following path: Administration > Working Hours & Receipts > Activities.

"Dashboard" Tab

In the dashboard, each user has the ability to get an overview of their own data.

  • Overview comparing actual hours and target hours across weeks, months, and years.

  • Average hours per day

  • Overtime account

  • Overview of vacation days

    • Remaining vacation

    • Vacation entitlement

    • Approved/planned vacation

Additional tabs in the ZEP Clock app are "Absences" and "Receipts". These can be used if you have booked the corresponding modules.

"Absences" Tab

The Absences section provides an overview of vacation days and allows you to record any configured absences.

The "Absences" tab is only available if you have booked the "Absences & Overtime" module.

Using the "+" icon, you can open the form to record an absence, where the reason and the period are selected. The absence then appears in the overview.

"Receipts" Tab

The "Receipts" tab is only available if you have booked the "Travel Expense Management" module.

In the "Receipts" tab, you can upload receipts or invoices that are incurred for your employer, for example during your travels.

You can record your receipts as follows:

  • Scan receipt: Easily capture multi-page documents using your phone camera. Position the document centrally and ensure good lighting so it can be scanned.

  • Select from gallery: Upload existing photos from your gallery.

  • Upload document: If you have already saved the receipts as a document, you can upload them here in various file formats.

After the optional file selection, you will be guided through a structured process with 6 steps:

  1. Date

  2. Receipt type

  3. Amount

  4. Payment type

  5. Comment

  6. Review information / Summary

The payment type distinguishes between "Company" and "Private", where you as the user indicate whether the entered amount is included in the expense report.

Uploaded receipts are automatically analyzed by an AI. The following fields can be extracted: date, receipt type, VAT, amount, payment type, currency, amount type, and comment. All fields recognized by the AI are marked with an asterisk, making it easy to see which entries were filled automatically. The AI analysis can be deactivated under More if required.

"More" Tab

Via the "More" tab, you have the option to configure the ZEP Clock app according to your needs. The following settings are available:

  • Language

  • Dark mode (on/off)

  • AI - receipt analysis (on/off)

  • Clear cache

Multi-User Mode

Multi-User Login

The multi-user login can be used, for example, for on-site devices. This allows all employees to clock in and out on the device using their own user accounts.

As a prerequisite for multi-user login, a ZEP Clock app must be created in the ZEP web browser by your administrator. This can be set up via the following path: Administration > System > Device Management.


When creating it, you can configure which users should be included and which information is displayed in the app. You can also define an administrator PIN code. This administrator PIN allows you to switch your device to administrator mode and independently clock employees in and out. However, to connect the device to the ZEP system, you need a different login PIN, which is configured when creating the app.

The ZEP Clock app includes different types of PINs:

  • Administrator PIN: Can only be created by the administrator and allows switching to administrator mode in the Clock app (Administration > System > Device Management > Add new ZEP Clock app OR edit device)

  • App Login PIN: This is automatically generated when you create a new ZEP Clock app. It allows you to connect your tablet to your ZEP system (Administration > System > Device Management > Info icon of the device)

  • Employee PIN: This PIN allows individual employees to clock in and out on the tablet. Each employee has an individual code. This code can be edited in the employee master data (Employees > "Max Mustermann" > Edit employee > Settings). This prevents employees from clocking in and out for each other.

If you have created the ZEP Clock app in the web browser, you can connect your device to the ZEP system. To do this, you must first enter your ZEP URL.

Afterwards, you can enter the login PIN. You can find it via the following path: Administration > System > Device Management > Info icon of the device.

You can also find a QR code via the same path, which allows you to connect your device to the system even faster. Using the "Email" icon, you can also send the QR code to the selected users.

Using Multi-User Mode

The ZEP system should now be connected to your device. In order for all employees to clock in and out on the device using their own accounts, they must have permission to use the ZEP Clock app. This permission can be granted via the following path: Employees > "Max Mustermann" > Edit employee > Settings. Using the same path, you can also assign individual PINs to your employees so they can log in on the device.

PIN login allows multiple employees to clock in and out on a shared device (e.g. an on-site tablet) without each needing their own account on the device.

You can always see at a glance how many of your employees are currently present or absent.

Administrator Mode

To access administrator mode, you need to log in using your administrator PIN via the icon in the top right. You can then edit your employees' times or, for example, log out the device.
