With the ZEP App, you record working and project times, receipts, and absences directly on your smartphone. The app complements the ZEP web application with mobile recording on the go and is available for iOS and Android.
You download the ZEP App from the Apple App Store (iOS) or the Google Play Store (Android). This article guides you through the login and the individual tabs of the app. Which tabs appear depends on your product line and booked modules: the Receipts tab requires the add-on module Travel expense management, and the Absences tab requires the add-on module Absences and overtime.
Note: The ZEP App is intended for users of ZEP Compact and ZEP Professional. For ZEP Clock, the separate ZEP Clock App is available.
Logging in to the ZEP App
On first launch, you log in with your ZEP URL, your username, and your password. Alternatively, use the QR code quick login: open the matching QR code in the web application under Profile > Interfaces > Mobile Apps and scan it with the app to log in without manual entry. If your company uses single sign-on, an additional login via your provider appears (Google, Microsoft, or a generic OAuth provider). On supported devices, you can also enable biometric authentication in the More tab, for example Face ID or Touch ID.
Dashboard tab
The Dashboard tab summarises your most important key figures: the comparison of actual and target working time, the average hours per day, your overtime account, and the current holiday balance. This way, you keep an overview of working time and balances on the go.
Times tab
In the Times tab, you record your attendance and your project times. Using the clock button at the bottom right, you start and stop time tracking. In addition, you record project times manually and see the daily overview.
Record Attendance
Using the clock button, you start your attendance and end it with End presence. The app shows the running time and the daily total so that you keep track of your working time at all times. Times already recorded can be viewed in the daily overview. If your administrator has enabled location transmission, the app requests location access (GPS) when clocking.
Record Project Time
When clocking, the app additionally offers Record Project Time. Alternatively, you create a project time manually via the plus icon. In the entry dialog, you select date, start and end time, as well as project, task, and activity. As the task, you select a project task or a ticket, depending on your configuration. Via the Billable switch, you define whether the time is invoiced, optionally select a work location, and add a remark. For recurring entries, you save favorites, and in edit mode a project time can additionally be copied to another day.
Booking appointments from the calendar
In the More tab, under Calendar synchronisation, you connect your calendar from Google, Microsoft Outlook or, on iOS, Apple. Your appointments then appear in the Times tab, and you take over an appointment as a project time with a single tap. For each calendar, you define whether it is shown and whether private appointments are included.
Receipts tab
In the Receipts tab, you record expenses on the go. Via the plus icon, you go through a guided process with the steps date, project and task, receipt type, amount, payment information, remark, and a final summary. You capture the receipt via the camera, from the gallery, or as a document (for example PDF), optionally without an attachment, and mark it as a company or private receipt.
An AI receipt analysis detects receipt data automatically and pre-fills the fields. It can be switched off in the More tab. Receipts that are locked by a checked cost statement can no longer be edited.
Note: The Receipts tab is available with the add-on module Travel expense management.
Record Travel Time
Via a travel activity, you record travel times as a project time. You attach the corresponding receipt to the project time. This way, you document trips together with costs in a single entry, which simplifies the later billing of travel expenses. In the app, you also record meals (breakfast, lunch, and dinner) for subsistence and can reuse past trips from the archive. The recording largely corresponds to the web application. Absences tab
In the Absences tab, you request and manage absences. Via the plus icon, you create an absence with a from and to date, an absence reason, and a duration (complete day, half day at 50% of regular working hours, or hourly). You save the absence as a plan or submit it directly for approval. As long as it is not approved, you can retract it again. Using the filter, you display planned, requested, or approved absences.
Note: The Absences tab is available with the add-on module Absences and overtime.
More tab
The More tab bundles the settings of the app. Here you switch the AI receipt analysis on or off, enable dark mode and biometric authentication, set up the calendar synchronisation, choose the language, and define whether weekends are shown. In addition, you reach the Help Center (support.zep.de), the latest changes, imprint and privacy, as well as support contacts (rate, call support, e-mail). Via Log out, you leave the app.
