Tips & Tricks for Using ZEP

In this article, you’ll find tips on general usability features in ZEP that can help make your work easier and more efficient.

General

Under Profile > Settings > General, you can make several personal adjustments:

  • Set Font Size

    • You can adjust the font size used in the web interface. This setting is saved per device.

  • Set Language

    • You can select a display language that differs from your company’s default ZEP language.

  • Profile Picture Instead of Initials

    • You can upload or change your profile picture by selecting Change Data and clicking on the image.

You can access your profile by clicking on the gray circle with your initials (or your uploaded picture) in the top right corner of your ZEP interface.

Quick access to the time recording screen

Clicking on the ZEP icon (top left) takes you to the Project Times page .

ZEP base color

An administrator can configure the ZEP base color as well as the black and white representation of the ZEP logo system-wide in the settings under Administration > Settings > General .

History

Here you will see the most recently visited menu items as well as the most recently visited projects, customers, employees, documents, etc. By clicking on an entry in the history you can return to the corresponding menu item. This takes you directly to the last submenu item and the previously selected settings are retained.

Date entry

Date input and date picker

The date can be entered into a date field using the keyboard or by copy & paste.

As soon as a date field receives the focus, a date picker (calendar sheet) opens, the date entered in the date field is displayed and highlighted in color.

In general, you can use the arrow keys to navigate within the view. The day-specific version also offers the following options (Windows, not Mac):

  • Scroll to the previous month: Shift+Left Arrow or Shift+Up Arrow

  • Scroll to the next month: Shift+Right Arrow or Shift+Down Arrow

  • Scroll to the previous year: Ctrl+Left Arrow or Ctrl+Up Arrow

  • Scroll to the next year: Ctrl+Right Arrow or Ctrl+Down Arrow

Additional features of the date picker:

  • Clicking “ Today ” sets today’s date and closes the date picker

  • Clicking on the month in the title bar switches to the month selection for the set year

  • Clicking on the year in the title bar of this view switches to a year selection

  • Clicking on the year in this view switches to a decade selection

Tips for project time tracking

Quick date selection

You will find quick links above the date for the last few days up to today. By clicking on a day in the project time list, the date in the input field for the clicked day is pre-filled.

Fast time entry

ZEP sets the time appropriately.

  • Start time:

    • Option 1: There is no time booking yet. The start time is then set to the start time configured in the settings. If no start time was configured in the settings, ZEP automatically sets the current time.

    • Option 2: If a project time has already been booked, ZEP defaults the start time to the end time of the last time booking of that day to enable seamless booking.

  • End time:

    • ZEP uses the current time before (until now) as the to-time

  • The quick link Now sets the current time

The command (ctrl+home) also sets the current time.

  • If you rotate the mouse wheel over one of the fields, you can adjust the time.

  • Behind the day in the project time list are two functions for faster time booking. If you move over the upper edge of the day, a bar appears that pre-allocates your time after the last booking. Clicking on the lower edge allows you to make a booking before the first time booking of the day. For a better representation, see image (...).

  • It is also possible to enter the time using the keyboard.

Fast project time tracking

The green arrow in the project time list copies everything behind the arrow into the entry mask, i.e. every existing time booking can function as a favorite .

You should define a standard activity for each project and task. This will automatically set the activity when the task is selected.

Insert pauses

Using the coffee cup symbol, a break or gap can be inserted into an existing time booking, i.e. the existing time booking is divided accordingly.

Fill breaks or gaps with time booking

Clicking on a gap between two time bookings will fill the from and to times with the times of the gap.

Table operation and configuration in evaluations

Scrolling wide tables

If a table is wider than the space available in the browser, a grey area is displayed on the left and right, which can be clicked over the entire height of the table to scroll left or right. This area can also be identified by the mouse hand when moving over it.

A table can also be scrolled using Shift+mouse wheel .

Reorder or hide table columns

You can use the configuration symbol displayed at the top right of a table to hide unnecessary table columns or permanently change the column order.

Log in & log out in ZEP

Log in

Open ZEP in your browser and log in with your username and password. Only registered employees can log in, and only from the date of entry up to and including the date of departure.

Logout

You will find the Logout menu item in the grey circle with the initials of your first and last name or with your picture in the top right of your ZEP :

When you hover over this icon you can either select your profile or select Sign Out .

The login page will be displayed again. This means that no one can edit other people's data without knowing the corresponding password (exception: administrator). As long as your ZEP is open in your browser and your PC is running, you will remain logged in to ZEP . For security reasons, always log out of ZEP .

Depending on your browser settings (if you use ZEP in your browser), you may be automatically logged out of ZEP if the tab in which you opened ZEP has been inactive for a specified period of time. Please check your browser settings .

Licenses and self-service tool

Apply for additional licenses

As an administrator, you can request additional user licenses from ZEP at any time.

Please note: If an employee leaves, enter a departure date for this employee under Employees > Employment periods . You can now use this "freed up" license for a new employee.

Self-service tool

With this tool, all admins in ZEP can independently add and remove users and modules and view the invoices.

Manage subscription

Under Administration > Account > Subscription , you will see:

  • How many licenses you have and what your current price per month is

  • Which modules you currently have licensed (green check mark) and which are available for testing (blue plus)

  • Modules that you have not yet licensed are marked with a grey plus

  • In the history you can see your last upgrades/downgrades. There you can also see the name of the admin who edited the license. Created by provantis means that our team made the adjustments at your request.

Under Edit License an additional window opens:

  • There you can edit the number of users and the modules . The new price will be displayed at the bottom right.

  • As always, our terms and conditions apply, upgrades take place on the 1st and 15th of each month, also retroactively, downgrades only take place on the 1st of a future month.

  • If you schedule an upgrade or downgrade for the future, it will not be carried out immediately, but at the scheduled time.

  • Before ordering, you must agree to the terms and conditions and by clicking on Next you will receive an overview of your license change before you complete the license change by placing a paid order .

  • An order confirmation will then be sent to both the email address of the executing admin and the email address stored for invoicing .

  • You also have the option to test additional modules . Please note that each module can only be tested once for 4 weeks. If you would like to extend the period, please contact our support.

View invoices

Under Administration > Account > Invoices you can view your latest invoices and also download them.

Manage billing data

You can change and adjust your billing information at any time under Administration > Account > Billing information .

If the tool is not yet available to you, please contact our support team, and we will activate it for you.

Search and help function in ZEP

Global Search

Top right, next to the printer icon, you will find the global Search function in ZEP: click in the search field with the magnifying glass symbol and enter one or more search terms. ZEP lists all matching results. Optionally, you can also continue this search in the online help.

Shortcuts for calling up the search function:

  • Shift + Ctrl + F

Search on subpages

In addition to the global search field, many of the subpages have another search field. In this search field, you can perform a wildcard or placeholder search using the % symbol. In this case, the % symbol stands for unknown characters in a text value and is suitable for finding several elements with similar but not identical data. This is useful if, for example, you are in project management and can only remember the approximate name of a project.

Help icon

The ? symbol, which is available in many places, gives you specific help for the respective area when clicked.

You will also find the symbol next to the search bars on the subpages. There you can find out more about relevant search terms and how to narrow down your search.
