Creating, Editing and Deleting Employees

Create employees with the wizard, edit the Employee File, reset passwords, and deactivate, pseudonymize, or delete employees.

Written by Gideon Weller

Employee management is the foundation for all other functions in ZEP. This article shows how to create employees with the wizard, maintain their data in the Employee File, send them a login link or reset their password, end their employment period, and pseudonymize or delete the entire record when needed.

Which fields are available for an employee depends on your product line and the modules you have booked. A complete field reference with all availability notes is in the article Employee Data.

Note: Employee management is included as standard in ZEP Track, ZEP Clock, ZEP Control, ZEP Operations, and ZEP Business. You access it via the main menu Employees. How to configure the employee list is described in the article Employee Overview.

Permissions for employee management

Administrators define who may create, edit, pseudonymize, or delete employees under Administration > My Company > Roles & Permissions in the Employees area. The table lists the relevant permission for each action. Administrators always have all permissions, and their role cannot be restricted. How to adapt the permissions to your organization is described in the article My Company – Administration.

Action

Permission in Roles & Permissions

Note: Only administrators and system administrators can edit, pseudonymize, or delete employees with the Administrator or System Administrator role. Employees maintain their own address, contact, and bank details themselves in their Profile.

Creating employees

You create new employees with a wizard that guides you step by step through master data, working time model, project allocation, and settings. This way the record is complete right after saving: you do not need to add the employment period, regular working hours, or project allocations afterwards.

How to create a new employee:

  1. Open Employees in the main menu.

  2. Above the employee list, click Create new employee.

  3. Fill in the steps of the wizard and click Next to move to the next step. To return to an earlier step, click Back or click a step in the step bar.

  4. In the last step, confirm with Save.

Each time you click Next, ZEP checks the entries of the current step and shows missing or invalid information directly at the field. The wizard consists of these steps:

  • Master data

  • Working time model

  • Project allocation (not in ZEP Clock, which does not track project references)

  • Settings

  • Credit, only if you select the type "Freelancer with credit" in the master data

Master data

In the first step, you enter user data, personnel data, and contact details. The required fields are Username, Password Assignment, First name, Last Name, and User role. You can show more fields using the links Extended personal data, Address supplement, and Contact details.

Field

Description

Profile picture

Optional. Image file up to 5 MB via Upload image.

Username

Login name in ZEP. Up to 32 characters; letters, digits, and the characters . @ - _ are allowed. The name must be unique, regardless of upper and lower case. After creation, administrators and system administrators can change it in the Edit Employee dialog, see Changing the username.

Password Assignment

"Send Link via Email" (default) or "Enter password". See Saving and access data.

Email

Required with "Send Link via Email", otherwise optional. Each email address can be assigned to only one employee.

Login provider ID

Only with login via OAuth. The field carries the name of your login provider, for example "Google ID" or "Microsoft ID". Enter the employee's identifier at this provider here, usually their email address there. Each identifier can be assigned to only one employee. See Email and single sign-on.

Password

Only with "Enter password". The password must meet your company's password policy.

First name, Last Name

Required fields.

User role

Preset to "User". You can choose from the roles you are allowed to assign.

Default price group

Required if prices are available in your product line. Serves as the default for the project allocations.

Personnel Number

Optional. If the number is already in use, ZEP asks whether you want to continue anyway when you move to the next step.

Department

Only with the Locations & Departments area. You can choose from the departments to which you are allowed to assign employees.

Extended personal data

Abbreviation (unique), Salutation, Title, Birth name, Date of birth, and Categories.

Interfaces

Personio ID, HR WORKS ID, or DATEV ID, if the respective interface is set up.

Address and contact details

Street, ZIP, City, and Country, optionally Address supplement 1 and 2 as well as Company phone, Private phone, and Mobile.

Employment

Type "Permanently Employed", "Freelancer", or "Freelancer with credit"; for freelancers, also the VAT ID. The section appears if freelancers are enabled, see External Employees and Credit Notes.

Comment

Internal comment, up to 255 characters.

Additional attributes

The fields defined under Administration > Employees > Additional attributes.

Working time model

In the second step, you define the employment period and regular working hours. The preset values come from the defaults under Administration > Employees > Settings, described in Employees – Administration.

Field

Description

Period from, Period To

Start of the employment period, preset to today's date. Without an end date, the period is open-ended.

Agreement

"Hours per day" with working days and hours per weekday, or "Hours per month" with the working hours per month.

Holiday calendar, Work Break Regulation

Calendar and break regulation that apply to the employee.

Monthly Upper Limit, Weekly hour limit

Optional maximum values for the working time.

Entitlement, Holiday entitlement

Only with the Absences & Overtime area. Holiday entitlement "Per Year" or "In employment period". An entitlement for the employment period requires an end date.

Holidays and absences by

Only with the Absences & Overtime area. "Calendar days" or "Regular working hours / Full-time". Defines how ZEP converts full-day absences into vacation days and absence days.

Full-time workday

Only with "Regular working hours / Full-time". Hours of a full working day, up to 24.

Calculate and show overtime

Only with the Absences & Overtime area. Turns on overtime calculation for the employee. If you work with compensated overtime, use "Overtime balancing per month based on" to define whether compensation is based on a "Fixed number of hours" or a "Percentage of working hours", and enter the value.

Example: A part-time employee works 4 hours on Mondays. With "Regular working hours / Full-time" and a full-time workday of 8 hours, a full day of vacation on a Monday counts as 0.5 vacation days. With "Calendar days", the same vacation counts as 1 day. The target time of the day stays the same in both cases.

Project allocation

In the third step, you allocate the employee to projects so that they can record project times right away. Click Assign another project to add a row, then select the project, the price group, and the period with From and optionally To. The period must lie within the employment period and the project duration. You can choose from the projects you are allowed to allocate and whose duration overlaps the employment period.

With Copy Project Allocation From Another Employee, you take over a colleague's projects. You select the employee, optionally the price group "Of the Employee", and with Copy periods also their periods. If you then change the employment period in the Working time model step, ZEP moves the entered allocations into the new period.

Settings

In the fourth step, you define how the employee works in ZEP. Which sections appear depends on your product line and the active areas.

Section

Content

Language

Language of the interface and the system emails; the default is the system language.

Attendance & Access

Include attendances, Start/end attendance in the web interface, and Block login without OAuth. In ZEP Clock, also Deactivate manual time recording.

Clock App attendance recording

Use single user login, PIN for multi-user login (up to 4 digits), and Location transmission. Only if attendances are recorded.

Time and receipt entry

Project times import (in ZEP Clock: Working times import) and Additional backward recording days for project time or working time, receipts, and a Valid until date.

Billing

Include subsistence allowances, Accounting procedure, View own cost accounting or View own credit note, as well as Internal Hourly Rate and a different rate for provisions.

Accounting

Creditor Number, Cost Center, and Cost Unit, if the accounting export uses this information per employee.

Credit

The fifth step appears only for the type "Freelancer with credit". Here you select the currency and VAT and define whether this tax rate also applies to receipts. Optionally, you can store a different address for the credit note as well as an upper and a lower text. Details are described in the article External Employees and Credit Notes.

Saving and access data

When you click Save, ZEP creates the employee with all master data and settings in one step, together with the employment period including holiday entitlement, the regular working hours, the project allocations, backward recording, and a first internal hourly rate. ZEP then opens the Employee File of the new employee. If you are not allowed to view the file, for example because the employee belongs to another department, you return to the employee list.

How the employee gets access is determined by the Password Assignment from the first step:

  • Send Link via Email: After saving, ZEP sends an email with a link the employee uses to set their own password. This way only the employee knows their password. The email is sent in the employee's language and is based on the email template for resetting the password. If sending fails, ZEP tells you. You can then send the link again via Reset password.

  • Enter password: ZEP saves the password you entered and does not send an email. This is suitable for employees without a business email address.

Note: Only employees whose employment period includes today count towards the license. Anyone joining later does not occupy a seat yet. If the license is not sufficient for a future period, ZEP points out in the employee list that the number of licensed employees will be exceeded in that period. You can still create the employee. If the license is already exhausted today, however, no further employees can be created.

Editing employees

You find all data of an employee in their Employee File. Open Employees in the main menu and click the username in the list. The Employee File shows the data in cards, for example Master data, Contact details, User data, Working time model, Settings, and Bank details. Which cards you can see and edit depends on your permissions. What each card contains is described in the article Employee Data. The Employee Dashboard shows the employee's times, absences, and vacation at a glance. With HR Management, you also maintain contract details, compensation, skills, and employee reviews in the file, see Feature Overview – HR Management.

Master data, contact, and settings

Clicking the pencil icon of a card opens the Edit Employee dialog directly in the matching tab. The dialog has the tabs Master data, Contact, Settings, and, for the type "Freelancer with credit note", also Credit. The fields correspond to those of the wizard. Which fields each tab contains is described in the article Employee Data. Save your changes with Save.

Which tabs and fields you can see and change depends on your permissions. Fields for which you lack the Edit permission are locked. For example, you see the Contact tab with the View permission for "Contact details". You change the user role in the Master data tab if you have the "Roles & Assignments" (Edit) permission. Your own user role is changed by another authorized person. In the same tab, only administrators and system administrators can change the username, see Changing the username.

Bank details

You edit the bank details via the pencil icon of the Bank details card in a separate dialog with the fields Account holder, if different, Bank, IBAN, and BIC. This requires the "Bank details" (Edit) permission.

Working time model

You maintain regular working hours and employment periods on the Working time model page. You open it via the link Go to working time model in the card of the same name or via the menu item Employee File > Working time model of the employee. The page shows the employment periods and, below them, the regular working hours.

Changing the username

ZEP uses the username as an identifier in bookings, reports, and interfaces. Administrators and system administrators change it in the Edit Employee dialog in the Master data tab: they overwrite the Username field and save. The same rules apply as when creating: up to 32 characters, unique regardless of upper and lower case. The name must also not be in use as the login of a customer contact. All existing data such as project times, receipts, absences, roles, and permissions carry over to the new name.

Note: As soon as you change the username, the dialog points out that the employee must then log in again to ZEP and all apps. If you change your own username, ZEP logs you out after saving, and you log in again with the new name. If the name cannot be changed, ZEP saves the other changes and keeps the previous username.

Data in the profile

Employees maintain part of their data themselves in their Profile: profile picture, salutation, title, date of birth, address, phone numbers, and bank details. This requires the "General data" permission in the My Permissions section of Roles & Permissions. The email address is changed in the Employee File by authorized users with the "Contact details" (Edit) permission, the personnel number by those with "Master Data" (Edit).

Resetting the password and sending a login link

You can send an already created employee a login link or reset their password at any time. In ZEP both run through the same function. Who initiates the change determines the route. The three sections below describe it in the Employee File, in your own profile, and for a forgotten password. Sending a login link is also how you invite new employees to ZEP.

Note: In the trial version, ZEP sends automatic system emails such as access data, password resets or absence request notifications as soon as ZEP has activated email dispatch. For details, see Account – Administration.

Note: With central login via LDAP or single sign-on, employees manage their password with the respective sign-in service.

In the Employee File

Open the Employee File and click Reset password in the User data card. Under Reset via, choose one of two ways:

  • Send Link via Email (default): The employee receives an email with a link they use to set their own password. This is also how you give an already created employee access afterwards. Confirm with Send.

  • Set one-time password: You enter a one-time password and pass it on in person. The employee uses it to set a new password of their own. Confirm with Save.

Sending the email requires a stored email address. If none is set, the dialog offers only the one-time password. You see the Reset password action if you have the "Master Data" (Edit) permission for the employee in Roles & Permissions. Only administrators and system administrators with this permission can reset the password of administrators and system administrators.

In your own profile

You can change your own password at any time. Open Profile via your profile picture at the top right and click Change password in the User data card. To confirm, enter your current password and then set a new one.

Via the login page

If you have forgotten your password, use Forgot password on the login page. Enter your username or email address, and you will receive an email with a link to set a new password. For security reasons, the link is valid for 24 hours.

Deactivating employees

When employees leave the company, enter their leaving date as the end of the employment period. This keeps past bookings and reports unchanged. From the month after the leaving date, the person no longer appears in the default employee list.

Note: Before ZEP shortens an employment period, it checks whether data is still booked in the period that falls away: project and working times, receipts, absences including approved vacation, as well as compensated vacation days and compensated overtime. The message states which of these data are in the way. Remove these entries first or choose a leaving date after the last entry. Deleting the employee is not necessary for this.

Warning: A leaving date cannot be moved back into a period that has already been closed. In that case, first reopen the month-end closing.

How to end an employment period:

  1. Open the Employee File via Employees.

  2. In the employee's menu, select Employee File > Working time model.

  3. In the Employment Periods table, click Change employment period for the current entry.

  4. Enter the last working day as the end of the employment period.

  5. Save the change.

Employee detail Employment periods with button Create new employment period and table entry date, exit date and leave entitlement per period and per year plus note field

When opened, the employee list shows the employees who are employed from the first day of the current month. To show former employees, for example for reports on the past, use the Employment Period filter, see Employee Overview.

Note: What happens to the license when the employment period ends depends on the product line. In ZEP Clock, the license is automatically no longer billed once the person is no longer employed. In the other product lines, the license slot becomes free and can be used by a new employee. The booked number of licenses does not change automatically. You reduce it yourself via ZEP's self-service tool for license and contract management.

Pseudonymizing employees

Pseudonymization replaces personal data with generic values without destroying the accounting history. It applies when former employees exercise their right to be forgotten under GDPR Article 17 towards the system while past data must remain available for reports.

Note: Pseudonymization is purely a data protection measure and has no effect on the license. Whether an employee occupies a license seat depends solely on the employment period. A former employee whose employment has ended does not occupy a license seat, regardless of whether their record is subsequently pseudonymized or retained.

How to pseudonymize an employee:

  1. First end the employment period (see the previous section).

  2. Open the Employee File and select Pseudonymize in the gear menu Administration.

  3. In the dialog, decide per data category between deleting and pseudonymizing: absences and calendars, assignments (department management, project manager, customer responsibility), and change history.

  4. Confirm with Execute.

ZEP always replaces the first name, last name, and username with generic values, for example Vorname001, Nachname001, and user001. ZEP automatically picks the next free number. ZEP deletes all other personal data: email address, postal address, phone numbers, bank details, date of birth, personnel number, and profile picture. ZEP overwrites the password with a random value. This ends access with the previous credentials.

Project times, receipts, and other bookings remain under the new pseudonymized name so that reports and evaluations of the past stay consistent. To pseudonymize, you need the "Delete Employee" permission.

Warning: Pseudonymization cannot be undone. Before executing it, check that all required reports have been exported.

Deleting employees

Deleting removes an employee completely from ZEP, including all dependent data. This action only makes sense for test accounts or records created by mistake. In all other cases, pseudonymization is the right choice because it preserves the history. Deleting is not required to avoid license costs. Ending the employment period is sufficient, see Deactivating employees.

Note: You can delete an employee as long as there are no project times, receipts, or absences for them (with the Absences & Overtime area) and they are not entered as employee or assignee in any ticket (with the Ticketing System module). Entries in the Receipt Inbox as well as work items assigned to or created by the employee also block the deletion. ZEP states the reason in the message.

How to delete an employee:

  1. Open the Employee File and select Delete employee in the gear menu Administration.

  2. Confirm with Execute.

When deleting, ZEP automatically removes all dependent records: project and task assignments, employment periods, internal hourly rates, monthly employee data, as well as overtime and vacation accounts. To delete, you need the "Delete Employee" permission. Your own record is deleted by another authorized person.
