The HR Management module extends the employee file with your employees' personnel data: skills with supporting documents, compensation, contract details, tax and insurance data, inventory, notes, and employee reviews. This keeps the key information of a personnel file right with each person. To get started, set up the skill catalog, the review forms, and the compensation types in the basic settings, and define who can view and edit which data.

Note: HR Management is included in ZEP Business. In ZEP Clock it can be added.
In ZEP Clock, you add the module through the ZEP Self-Service Tool under Administration > Account.
Permissions
Work in HR Management is divided among these roles. You define which role can view and edit which personnel data under Administration > My Company > Roles & Permissions, with a separate row for each type of data.
Administrators: Set up skill management, employee review forms, and compensation types, and have access to all personnel data. These permissions are fixed.
Department managers (with the Locations & Departments area): Maintain the personnel data of the employees in their department and its subdepartments, as far as you grant the permissions on the Department Manager tab.
Employees: Maintain their own skills in their profile if their role has the My skills permission.
For the permissions the module adds, see the article Basic Settings – HR Management.
Additional menu items
The module adds the following menu items to the employee file, the profile, and the administration. To reach the pages of the employee file, open a person from the Employees main menu. Each menu item appears for users who have the corresponding permission. With HR Management, the Employee File menu is split into two columns: Employee data with the data, contract, compensation, tax, and skill pages, and Documentation with employee reviews, notes, documents, and history.
Employee File > Contract details
Under Contract details, you store a person's contractual and social security information, such as employee type, fixed-term status, probation period, person group and contribution group keys, and children for long-term care insurance. Each record applies from a specific date, so changes over time stay traceable. ZEP derives the Activity key 2010 from this information automatically. You maintain regular working hours and the employment period in the Working time model of the employee file.
For all fields, see the article Contract Details, Tax & Insurance, Inventory, and Notes.
Employee File > Compensation
Under Compensation, you record the base compensation as a fixed salary or hourly rate, each valid from a start date, as well as variable compensations such as special payments, benefits in kind, or holiday bonuses, either one-time or recurring. The compensation overview shows the monthly totals for a selected year. You can copy compensation from other employees and add it to several people in one step using a bulk action in the employee list.
For details, see the article Compensation.
Employee File > Tax & Insurance
Under Tax & Insurance, you maintain a person's Tax Data, such as tax ID, tax class, child allowance, and church affiliation, as well as their Insurance data with social security number, health insurance, company pension plan, and severe disability. Both areas keep dated records, so a change such as a new tax class takes effect from a specific date. For details, see the section Tax & Insurance.
Employee File > Skills
Under Skills, you assign skills from the skill catalog to a person, rate their proficiency from one to five stars, and upload supporting documents such as a certificate if needed. You can also copy skills from another person. In the employee list, you show the Skills column via the table configuration and filter by individual skills. For details, see the article Skills – HR Management.
Employee File > Employee Reviews
Under Employee Reviews, you record reviews based on the forms you create in the administration. For recurring reviews such as annual or feedback reviews, you set up recurring appointments from which ZEP calculates the next dates. For details, see the article Employee Reviews.
Employee File > Notes
Under Notes, you keep formatted notes about a person, each with a title and text. ZEP automatically records who created a note and who last edited it. This lets you document agreements or onboarding remarks right with the person, see Notes.
Profile > Skills
The Skills tab appears in the Profile. Here, employees maintain their own skills with the same options as in the employee file. This requires the My skills permission. That way, employees keep their profile up to date themselves, for example after a new certification, see Own skills in the profile.
Administration > Employees
Under Administration > Employees, three menu items are added that are available to administrators:
Skill Management – skill catalog with skills and skill categories
Employee Review Forms – forms with freely arranged fields for recording reviews
Compensation Types – types of variable compensation with optional defaults
You can also reach the same menu items via the Administration gear icon in an employee's navigation. For the setup, see the article Basic Settings – HR Management.
Interaction with the employee file
HR Management adds cards to the Employee File page that show the current state of the personnel data at a glance. Each card appears with the matching permission and leads to the corresponding page. For the master data, contact details, and working time model of the employee file, see the article Employee data.
Card | Content | Permission |
Compensation | Current base compensation with compensation model and amount | Employee Compensation |
Top Skills | Up to five of the highest-rated skills | Employee Skills |
Inventory | Items issued, such as a laptop or company phone | Inventory |
Current contract and social insurance | The contract details valid today | Contract details |
Tax Data | The tax data valid today | Tax Data |
Insurances | The insurance data valid today | Insurance data |
You maintain the Inventory directly via the card on the employee file, see Inventory.
Dashboard extensions
In the Employee Dashboard, the Upcoming events tile also shows the next employee reviews from the recurring appointments. For each recurring appointment, the next date appears if it falls within the next 90 days. Users with the Employee Reviews permission see the review dates.
Distinction from other modules
Note: With the Locations & Departments area, when copying skills and compensation, you narrow down the source person by department. With the Document Management module, you store general personnel documents such as employment contracts in the employee documents. HR Management stores supporting documents for skills and documents from employee reviews directly with the respective entry.
