Employee reports show master data, assignments, times and administrative information across your workforce. They are available in two places in ZEP: centrally under Reports > Employees and directly on the employee data set in the submenu of the detail view. The menu item Reports > Employees is reserved for administrators, controllers and Department Managers.
Tip: Each of the reports described here can be exported as a file. How the export works, in which formats ZEP exports and how the background export for large data volumes runs is described in the article Tips & tricks for usage.
Reports area in the main menu
Under Reports > Employees you find all standard reports around your workforce. The following list shows the reports available without additional modules. Modules such as Absences and overtime, Travel expense management, Revenue and costs or Resource planning add further reports that are documented in the respective module articles.
Employment periods
The report lists all employment periods — hire and leave dates — across all employees in a configurable period.
Filter options: department (with module Locations and departments), employee category, period and status. Useful for personnel planning, overview of fluctuation and re-entries as well as audit evidence.
Employment level and availability level
This report shows the contractual employment level per employee — measured as the ratio to a full-time person who works the hours per full-time working day set in Administration > Employees > Settings (default: 8 hours) from Monday to Friday. Example: Someone who works only Monday to Wednesday has an employment level of 0.6.
Filter options: period, department, employee category. Useful for personnel planning, workload overviews and capacity benchmarking.
Note: Without the Absences and Overtime module, the menu item is called Employment level. With the module, it is called Availability level and additionally takes approved absences and public holidays into account when calculating actual availability.
Project assignment
The report shows which employees are assigned to which projects and on which projects they can currently book times.
Filter options: project, employee, department, assignment period. Useful for project rebalancing, onboarding new projects and audits of project responsibility.
Note: Available in ZEP Compact and ZEP Professional, not in ZEP Clock, since Clock has no project assignment.
Rights and functions
The report lists all employees with the assigned standard role (User, User with additional authorizations, Project controller, Controller, Administrator) as well as the assigned additional authorisations (Department Manager, Project manager, Key account manager).
Filter options: role, department, employee category. Useful for compliance reviews, regular rights checks, onboarding checks for new administrators and data-protection audits. A detailed description of each role can be found in the section Employee roles in the article Employee data.
Change history
The report logs every recorded master-data change across all employees: who changed which field when to which value.
Filter options: period, changed employee, changing user, field type. Useful for audit evidence, compliance clarifications and traceability of subsequent adjustments.
Note: The report only appears when the option Record changes of employee data is activated under Administration > Miscellaneous > Change history.
Project time and working time report
In ZEP Compact and ZEP Professional the report is called Project time report and shows recorded project times with project, activity, date, duration and comment. In ZEP Clock it is called Working time report and lists pure attendance and working-time bookings.
Filter options: period, employee, department, project, activity. The result table is configurable and can be exported as CSV, Excel or PDF.
Project time and working time export
The Excel export creates a special template with column structure prepared for external further processing or re-import in another system. In ZEP Clock the menu item is called Working times export, in ZEP Compact and ZEP Professional Project times export.
Note: Available for administrators and Department Managers.
Project time and working time import
Via the import you load time bookings from an Excel file into ZEP. In ZEP Compact and ZEP Professional the menu item is called Project times import and imports bookings with project, activity, date, duration and comment. In ZEP Clock it is called Working times import and imports pure working-time bookings with date, start and end time.
Note: The Excel template with column explanation is available directly in the import dialog. Available for administrators and Department Managers.
Project time and working time history
The history shows chronologically which changes have been made to time bookings — who created, changed or deleted which booking when.
Filter options: period, employee, project, change type. Useful when corrections are suspected, for audit evidence and for clarification of data-protection requests.
Employee time matrix
The matrix view displays the recorded times of all employees in tabular form side by side — one row per person, one column per day or week. Gaps, fluctuations and utilisation patterns become visible at a glance.
Filter options: period, department, employee category, granularity (day/week/month).
Note: Available in ZEP Compact and ZEP Professional, not in ZEP Clock.
Time sheets
The time sheet summarises the recorded working and project times per employee for a configurable period. Several variants are available depending on the desired level of detail; all can be exported as PDF, Excel or CSV. Typical use: month-end closing, payroll handover, customer documentation, evidence at tax inspections.
Note: Time sheets are available in ZEP Compact and ZEP Professional, not in ZEP Clock. For ZEP Clock, use the working time reports described earlier in this article.
Depending on the variant and the booked modules, each time sheet may include the following tables:
Project times — every project booked in the period with its tasks and the total of project times per task, in hours and days.
Billable daily rate portions — for daily-rate projects: the billable daily rates based on the daily rate definition.
Absences — grouped by absence reason (with the Absences and Overtime module).
Effective hours — project times plus paid absences and surcharges, minus deductions from break-rule violations.
Overtime — effective hours minus target hours.
Filter options across all variants: period, employee, department, project. All reports can be run in the background — instead of Preview, choose a file format (PDF, DOC, DOCX, ODT) and click Run in background. Scheduled background tasks are available under Profile > Settings > Tasks.
Time Report Overview
Compact monthly view without individual bookings. Aggregates all project times, absences and overtime per employee and gives a quick numerical overview for month-end closing or payroll handover.
Time Report Detail
Lists all individual bookings with date, project, activity, duration and comment — ideal for handover to the customer. You choose one or more projects and optionally restrict to billable bookings.
Configuration options:
With subtotals per date — a subtotal per day.
Group by project — a dedicated table with a summary row per project.
With from-to times — exact from-to times in addition to the hours.
With location legend — location legend below the tables.
Signature block in the print version — employee or customer signature.
Time Report with absences
Lists all booked times plus holidays and absences per day, valued with the daily regular working time. Recorded hours on a holiday or absence day are additionally shown.

Time Report with Task Totals
Restricts a time sheet to one project with a choice of tasks. Every booked project time is displayed; per task, there is a grouping with a subtotal of the hours. This variant is well suited for customer handover on projects with task-level granularity.

Time Report with Daily Totals
Aggregates all bookings for one or more projects per day and task into a single row. Project times with identical date, project, and task are combined, even if they were originally split over multiple time slots. Optionally, daily totals can be grouped by activity — then the hours per activity appear for each day.
Tip: If instead all individual bookings with daily subtotals are needed, the Time Report Detail with the option With subtotals per date is the better choice.
Time Report with Daily Rate Portions
Shows the daily rate portions per day and employee according to the daily rate definition maintained in the administration. This is an internal view that answers the question: Which daily rates would the employee be credited with, if billing were done on a daily-rate basis? The report is particularly useful for projects billed by daily rates instead of hourly rates.

Project Time Report
Creates a time sheet for one project with optional customer signature. Only times marked as billable are included. The format follows the settings under Project > [project name] > Billing settings > Format. Internal projects are not offered here — for those, use the Project time and working time report.

Employee detail view
When you open a single employee via Employees in the main menu and a click on the name, you find a dedicated reports group in the lateral submenu. It shows the same reports as the main menu area, restricted to the opened person. Useful when you want to analyse a specific person — for example preparing a salary review, during onboarding or when clarifying a specific incident.
Project time and working time report
Per employee the report shows all recorded bookings of the configured period — in ZEP Compact and ZEP Professional with project and activity, in ZEP Clock with start and end time. Useful for time-sheet clarifications, preparation of employee meetings and for payroll handover.
Project time and working time history
Chronological view of all changes to the time bookings of the opened person — who created, changed or deleted which booking when. Useful for audit evidence, when corrections are suspected and for data-protection requests.
Project time and working time progression
Utilisation of the person over time, with comparison to target hours. Helps identify over- or under-utilisation and provides the basis for capacity and personnel-planning conversations.
Time sheets
All time-sheet variants from the main menu are also available directly on the employee, restricted to the opened person. Available are: overview, detail, with day totals, with transaction totals and project time sheet.
Change history
Audit log of all recorded master-data changes on the opened employee. Useful for clarifying who made what change to the personnel data set and when.
