My Planning – Resource Planning

View your own planning and learn when you are allowed to edit it yourself.

Under Planning > My Planning you see which projects you are planned for and to what extent. The view is open to every user who has Planning in the menu and shows your own planning only.

Note: This article describes the new Resource Planning, which appears in ZEP as the main menu item Planning. If your main menu also contains Work packages, you are still working with the previous resource planning. Its features are described in Feature Overview – Scheduling and Work Packages.

Viewing Your Own Planning

Your projects sit on the lanes of the timeline, with the bars of your plannings on top. The sidebar names your available and your remaining open hours in the selected period. Below it, the utilisation strip shows for each day how full your day is according to the current planning.

Daily Breakdown

Besides the total across the period, the view also shows the individual days. This way you not only see that a week is full but also which days carry the load. That helps when you have to fit in an appointment or want to estimate when you have room for an additional topic.

Absences and Public Holidays

Your approved absences and the public holidays of your location appear as separate cells in the timeline. They reduce your available hours, which is why your workload is higher in such weeks even though nothing about your planning has changed. On days without working time, no planning is possible.

Planning for Yourself

Whether you may only view your own planning or also edit it depends on a single row in the roles and permissions matrix. It is called My Planning and sits in the group Own permissions & my reports.

Note: This permission is set by default for administrators, system administrators, and controllers only. Employees see their planning by default but cannot change it themselves. If you want to allow that, enable the row for the relevant role.

Once the permission is set, you create plannings just as in the other views: through the button or by dragging the bar on the timeline. The same checks apply, in particular the binding to your employment period and to your project assignment. All fields of the form are described in Creating Plannings – Resource Planning.

Assigning Additional Projects

You can only plan on projects you are assigned to in the period in question. If an assignment is missing, the sidebar offers the Assign Additional Projects button. It appears only if you have the necessary permission and if there are any projects left that you are not assigned to. Otherwise, please contact the project management or your administration.

Notification About Changes

If someone else creates, changes, or removes your planning, ZEP can inform you about it. The setting required for this is defined company-wide in the administration and is switched off by default. Messages are sent as a bundle and with some delay so that several adjustments in a row do not lead to many individual messages.
