Planning Views – Resource Planning

Learn how the planning view is structured and how you filter and configure it.

Resource Planning displays plannings as bars on a timeline. Depending on where you enter, you see a single person, a single project, or several of them side by side. This article describes how the view is structured and how you adapt it to the way you work. How to create a planning is described in Creating Plannings – Resource Planning.

Note: This article describes the new Resource Planning, which appears in ZEP as the main menu item Planning. If your main menu also contains Work packages, you are still working with the previous resource planning. Its features are described in Feature Overview – Scheduling and Work Packages.

There are five ways into the planning. They differ in what sits on the lanes of the timeline: either projects or employees.

Which filters a view offers depends on what sits on the lanes. Views with project lanes let you filter by project, views with employee lanes by person.

Structure of the View

Every planning view consists of three areas: the sidebar with the key figures, the timeline with the planning bars, and the utilisation strip below it.

Sidebar with Key Figures

The key figures for the head of the view are on the left. For a person these are the available and the open hours together with their standard working time, for a project the duration as well as the planned hours and the hours still open. If no planned hours are stored for the project, ZEP shows the hours already scheduled instead. The width of the sidebar can be adjusted.

Timeline with Planning Bars

The timeline is on the right. Each bar represents the planning of one employee on one project across a period. The bars show their value directly and can be moved, changed in length, and adjusted in height. Areas that cannot be booked, such as weekends, public holidays, absences, or days outside the employment period, are marked separately. They sit as a layer above the timeline, and the bars underneath remain movable. In the project views, ZEP additionally marks the days on which a person is planned beyond their available hours: contiguous overload days get a red band with a warning triangle, and the tooltip gives the reason as The available hours have been exceeded. The calculation runs per person across all projects, so the overload may come from a project that is not visible in this view at all.

Utilisation Strip

Below the timeline, each employee has a strip showing the daily workload as a column. Up to one hundred per cent the column stays green. Between one hundred and one hundred and forty per cent it gets a red border, and from one hundred and forty per cent it is fully red. The height is capped at ten hours so that individual outliers do not render the display useless. The tooltip names the planned and the available hours.

Note: Workload is calculated against actual availability. Absences and public holidays reduce the available hours and therefore increase the workload, even though nothing about the planning itself has changed.

Adapting the View

Use the gear icon in the header to set how finely the timeline is resolved and which period the key figures are based on.

Day and Week View

Under Column Display you choose between Day View and Week View. Under View you define whether only the Work week or the full Week including the weekend is shown. Both changes take effect only when you select Apply, so you can set several options together.

Period for Workload Calculation

This period determines what the key figures in the sidebar refer to. You choose between the Project Period, a Custom Period, and a fixed Date. For a custom period you combine Current or Next with week, two weeks, month, quarter, half year, or year. The project period is available only if the project has both a start and an end date. Without a choice of your own, ZEP calculates the current month.

Filters and Favourites

Filters limit which lanes are shown at all. Favourites keep a combination you have set up for the next time you open the view.

Filters

Depending on the view, filters by employee, project, project status, and project type are available, and in the multiple views additionally by project management. With the Locations and Departments module, the department filter is added in the multiple views. Two further filters stay hidden until you need them: Employee category in the employee view and Project category in the project view. You bring them into the filter row with Add filter and remove them again with Delete filter. A value you set is kept as long as the filter stays visible. In addition, toggles hide lanes selectively, for example Employees with available capacity, Employees with planning, or Projects with open planned hours.

Note: In views with project lanes, only active projects are shown by default. If a project is missing, check the status filter first.

Favourites

You can save a combination of filters and view settings as a favourite. Favourites are kept separately per planning page, so the favourites of the employee view do not appear in the project view. In the single views a favourite can additionally be tied to the respective project or person.

Absences and Public Holidays

Absences and public holidays are shown as separate cells in the timeline so that you can see immediately which days someone is unavailable while planning. On days without working time, no planning is possible. Which absence reason is shown in detail depends on your role.

Tip: The Project planning view does not show absences per employee because projects sit on the lanes there. Switch to the Employee planning view or to the employee detail page to see absences.
