Projects – Administration

Master data of project administration — activities, status, mail templates, categories, tags and additional attributes.

The Projects area in the administration bundles all master data and settings around project work — activities, status, mail templates, categories, tags and additional attributes. Reachable via the main menu under Administration > Projects. Detail workflows for creating and managing individual projects are described in the Project administration collection.

Note: The area is available in ZEP Compact and ZEP Professional. In ZEP Clock the area is not available because no projects are recorded there.

General settings

The settings page bundles the behavior around projects — default values for new projects, automatic number ranges, configuration of the project list as well as settings for hiding and archived projects. Changes here affect all existing and future projects; in particular the configuration of the project list affects the daily work of all project leads and employees.

Workflow master data

This master data controls which activities, status values and mail contents projects and tasks in ZEP work with. It works across projects and is the basis for reports, filters and automated workflow steps.

Activities

List of activities that employees can choose when booking project times. Per activity, designation, short form, default price scale and billability can be maintained. The activity list works across projects and determines which options are available to employees in time recording.

Project status

List of status values that a project can take on — typically „active", „closed", „paused" or custom values. Per status, visibility rules and booking restrictions can be defined. Status values act as filters in reports and can control the appearance of the project in selection lists.

Task status

List of status values for project tasks, the structural level below the project. Per task status it can be controlled whether the task can still be booked on or whether it counts as closed. Task status also appear in task selection for receipts, work items and bookings.

Mail templates

Templates for automatic and manual mails around projects — notifications on status changes, reminders or reports. Per template, subject, salutation, main body and placeholders (such as project name, date, customer name) can be maintained. Templates can be stored per language for multilingual recipients.

Tagging and additional attributes

This master data extends projects and tasks with custom classification and data fields, beyond the ZEP standard fields. It is suitable for industry- or company-specific requirements not covered by the standard configuration.

Categories

Multi-assignable categories for classification of projects — for example industry, region or order type. They appear as filters in project reports and the project list and can control who sees which projects. Per category, colors and icons can also be stored.

Tags

Freely assignable tags for flexible marking of projects. Suitable for ad-hoc classifications that do not require central management. Employees with appropriate rights can create and delete tags directly on the project without opening the administration area.

Additional attributes for projects and tasks

Freely definable additional fields that appear in the project mask or task mask as additional input fields. Per attribute, designation, data type (text, number, dropdown) and mandatory field property can be maintained — separately for projects and tasks. Additional attributes also appear in reports and exports.

The project master data affects all areas in which projects appear — detail documentation on the workflow is available in Project administration. Activities and task status also affect time recording in the Personal area and Invoicing as well as Revenues and costs.
