Customer Settings – Revenue & Costs

Store customer-specific price tables and price groups for the Revenue & Costs module.

Under Customer > [Customer Name] > Billing Settings you can store customer-specific price tables and price groups. These settings automatically apply to every new project created for this customer – provided the project has no own project price table.

Pricing hierarchy: The project price table has the highest priority, followed by the customer price table. If neither a project nor a customer price table exists, the basic price table from Administration applies.

Price Tables for Customers

You can create a custom price table for each customer. For projects of this customer without their own project price table, the customer price tables apply to all billing and reports.

If new prices are agreed during the project, create a new table via New price table with the applicable validity start date and a note. The basic price table serves as a copy template for customer price lists.

Each price table consists of four parts:

  • Daily rates by price group: For billing by daily rate, charged according to the price group of the project-employee assignment.

  • Base hourly rates by price group: Applied to all activities without a specific hourly rate.

  • Special hourly rates by activity and price group: Activity-specific rates.

  • Price factors: Time-based multipliers, e.g., for night shifts or weekend work. Price factors are added via Add price factors in the respective price table.

Price Groups for Customers

If you want to allow all available price groups for this customer, no further action is required. ZEP informs you in the blue info box when the standard price groups are assigned to the customer.

To restrict the list of customer price groups, click Change customer price group assignment, activate the desired price groups by checking them, and click Assign.

Note: Customer price groups serve as the default for all projects of this customer. They can, however, be further restricted at the project level.

Additional Fields in the Billing Tab

In addition to price settings, the Billing tab of the customer record provides further fields for tax and payment-related information.

Supplier number: The internal number under which your company is registered as a supplier with the customer. Used in electronic invoice formats (e.g. XInvoice).

VAT No.: The customer’s VAT identification number – required for intra-community services and electronic invoice formats.

Currency: Sets the billing currency for this customer. If no currency is specified, the base currency from Administration > Prices & Receipts applies. All revenue and cost reports for this customer are shown in this currency.

Tax: Default tax rate for receipts and invoices for this customer. Used as a default value when entering receipts.

Note: Payment terms (Term of payment, Cash discount, Discount period) and bank details (IBAN, BIC) for direct debit are available with the Invoicing module.
