Features – Revenue & Costs

An overview of all features of the Revenue & Costs module: new menu items, price structures in projects and customers, and new report areas.

The Revenue & Costs module extends ZEP with comprehensive price and cost management. It enables the recording and management of receipts, the maintenance of external suppliers, the configuration of project- and customer-specific pricing structures, and detailed revenue and cost reports.

Product Line Availability

Availability by product line:
ZEP Professional: included in the base package (no add-on required)
ZEP Compact: available as an add-on module
ZEP Clock: not available

Additional Menu Items

The module adds the following additional menu items to ZEP.

Receipts

Receipts appears as a standalone main navigation item in ZEP. Employees can record and manage their own receipts there. The menu contains the following sub-items:

  • My Receipts: personal receipt overview and management for the logged-in employee

  • Receipt Inbox: central intake and review point for newly uploaded receipts; administrators can review, accept, or reject incoming receipts

Suppliers

Suppliers appears as a standalone main navigation item in ZEP. External business partners – service providers, subcontractors, and vendors – can be managed centrally, assigned during receipt entry, and evaluated in cost reports.

Projects

The module extends the project detail view under the Billing Settings tab with the following new areas:

  • Price Tables: project-specific price tables and hourly rates applicable to this project; override customer and administration defaults

  • Price Groups: project-level assignment of employees to price groups; override customer defaults

  • Daily Rate Shares: project-specific tiered rules for daily rate billing; override the administration defaults

  • Receipt Settings: configuration of the receipt inbox and receipt-related settings per project

In addition, the following new areas are added under the Reports tab:

  • Receipt Report: all receipts assigned to this project

  • Price Overview: applicable price tables for this project

  • Project Status – Earnings: comparison of planned and actual earnings for this project

Customers

The module extends the customer detail view under the Billing Settings tab with the following new areas:

  • Price Tables: customer-specific price tables and hourly rates that are pre-filled for all projects of this customer

  • Price Groups: customer-specific price groups that are pre-filled for all projects of this customer

In addition, the following area is added under the Reports tab:

  • Receipt Report: all receipts assigned to the customer via projects

Employees

The module extends employee data in the Travel & Costs section with the following new areas:

  • Receipt Report: all receipts recorded by this employee

  • Price Overview: applicable price tables for this employee

  • Disbursements (freelancers only): recorded disbursements

Administration > Prices & Receipts

This tile in the administration contains all billing-relevant master data for the module:

  • Base Price Tables: company-wide price and daily rate tables serving as the baseline for all projects and customers

  • Price Groups: classification of employees into pricing tiers for billing purposes

  • Daily Rate Shares: tiered rules defining which share of the daily rate is billed for a given number of hours worked

  • Payment Methods: Private, Company, Credit Card, etc. for receipt entry

  • Tax Rates: VAT rates for receipt entry

  • Exchange Rates: currencies and conversion rates including base currency

  • Receipt Types: categories for receipts (e.g., hotel, rail, meals)

  • Email Templates: customisable email texts for receipt notifications

Administration > Suppliers

This tile in the administration contains the master data for supplier management:

  • Settings: sorting, automatic number range, and default VAT rate for new suppliers

  • Industries: industry categories for assigning suppliers

  • Categories: additional categorisation options for suppliers

  • Custom Attributes: custom fields for supplier records

Additional Reports

The module extends several areas in the reports with new evaluations.

Projects

The following new reports are available under Reports > Projects:

  • Receipt Report: cross-project overview of all recorded receipts with filter and export options

  • Project Sales Volume: revenue development and earnings overview per project based on the configured price tables and project hours

  • Customer Sales Volume: revenue overview aggregated by customer across all assigned projects

  • Price Overview: applicable price tables and hourly rates per project

  • Project Status – Earnings: cross-project comparison of planned and actual earnings

Employees

The following new report is available under Reports > Employees:

  • Receipt Report: cross-employee overview of all recorded receipts with filter and export options

Departments

Note: The following reports are only available if the Departments module is active.

The following reports are available under Reports > Departments:

  • Department Costs: cost overview by receipt category per department

  • Internal Costs: overview of internal cost allocations per department

  • Cost Allocation: cross-departmental cost allocations based on internal service relationships between departments
