Employee Assignment & Clocking in

Assign RFID chips to your employees and use the ZEP Terminal for daily clock-in and clock-out.

Assigning Employees

In Administration > System > RFID Chips, select an RFID chip and choose an employee from the list.

All currently or future employed staff members who have not yet been assigned an RFID chip are available for selection.

To remove the assignment of an RFID chip from an employee, you can also navigate to Employee > Employee Name and remove the checkmark next to RFID chip.

Clocking in

Prerequisite: The RFID chip is registered and assigned to a currently employed staff member. In ZEP with the Attendance module, the setting Include clock-in times should also be enabled for the employee (under Employee > Employee Name > Data: tick Include clock-in times).

Hold the RFID chip in front of the terminal until a signal sounds. A „Come" entry is generated. The ZEP terminal display shows the user name and the word „kommt" in green, along with the current status of their working time. From this point on, the employee is considered „present" and is marked with a green field in the employee management.

Hold the same RFID chip in front of the terminal again after a few minutes (at least as many minutes as the minute grid configured in ZEP) until a signal sounds. Since the employee is already „present", a „Go" entry is now generated, meaning the employee is now considered „absent" and is marked with a gray field in the employee management.

Note: When clocking in, a high-pitched tone sounds as soon as the RFID chip is recognized. The color of the display indicates at a glance whether the clock-in was a „Come" (green) or a „Go" (yellow/orange). In the event of an error, a red message appears and a low-pitched tone sounds.

Every employee should pay attention to the tones and colors during daily clock-ins. If the clock-in was not correctly registered in the morning, the employee is considered absent, and the evening clock-in will be recorded as a „Come" entry.

In ZEP Clock, a working time entry with the corresponding from/to time is created upon „Going". In ZEP, this depends on the employee setting, see Employee > Employee Name > Generate project time and the help text behind the „i" icon.

Note: The automatically generated project time is assigned to a fixed activity and is always marked as non-billable. If the time captured via terminal is to be reassigned to other projects or activities later, this can be done afterwards in the project time recording.

If the „Go" clock-in was forgotten and the time between „Come" and „Go" exceeds 36 hours, the terminal rejects the booking. In this case, correct the time tracking manually in ZEP.
