Employee Reviews – HR Management

Learn how to schedule employee reviews such as the annual review with recurring appointments and document them with review forms.

Written by Camila Zapelini

With the HR Management module, you plan and document employee reviews directly in ZEP. You set up recurring reviews such as annual or quarterly reviews as recurring appointments; you record one-off occasions as independent reviews. A review form defines the content of a review. The article Feature Overview – HR Management describes which product lines include the module.

You find the reviews under Employees > [Person] > Employee File > Employee Reviews.

Review forms

A review form defines which fields to fill in when documenting a review, for example ratings, goal agreements or a checklist. Administrators create the forms centrally under Administration > Employees > Employee Review Forms; the Basic Settings describe how.

When recording a review, you fill in the form's fields, such as texts, ratings from one to five stars, checklists or documents. The overview of field types in the Basic Settings shows which input each field type allows.

Required fields are marked in the form. A recorded review keeps the version of the form it was created with. If an administrator changes the form later, the change applies only to new reviews.

Manage recurring appointments

Recurring appointments are a person's repeating review dates. From them, ZEP calculates the individual appointments that you then document. Use Manage recurring appointments to create up to ten recurring appointments per person.

Fields of a recurring appointment

Each recurring appointment has its own row in the dialog:

Field

Description

Title

Required, up to 32 characters, unique per person, for example "Annual review".

Form

Review form used to document the appointments. Required.

Frequency

"Weekly", "Monthly", "Quarterly", "Semi-annually" or "Annually". Required.

Valid from

Start of the rule, preset to today's date.

To

Optional end of the rule.

Depending on the frequency, you set the rhythm:

  • Weekly: weekday.

  • Monthly: "1st", "2nd", "3rd" or "Last" weekday of the month, for example the first Monday.

  • Quarterly and semi-annually: additionally the month in the quarter (Month in quarter) or in the half-year (Month in half-year).

  • Annually: month and day. February 29 cannot be selected.

You can choose from the working days according to the person's working time model. If a calculated appointment falls on a public holiday, a full-day approved absence or another non-working day, the next working day applies. Appointments outside the employment period are dropped. Below each complete row, a preview shows the rhythm and the next appointment.

Use Add another recurring appointment to add a row. If you change the rhythm of an ongoing rule, the new rhythm applies from today; past appointments remain unchanged.

Delete a recurring appointment

Use the trash icon of a row to delete a recurring appointment; ZEP asks for confirmation first. Appointments that have already been documented are kept with their title and date, so past reviews remain traceable. To change only the rhythm, edit the recurring appointment instead; the new rhythm then applies from today.

Review overview

Above the table, the first tile shows the date and title of the next upcoming recurring appointment; next to it, there is one tile per recurring appointment with its title and rhythm. The Employee Reviews table lists all recorded reviews with the columns Appointment, Date, Form, Created by, Remark and Date created. You can filter by Form and Created by.

An appointment goes through these states:

State

Meaning

Upcoming

Appointment from a recurring appointment that has not been documented yet. It is available for selection when you record a review.

Documented

The review has been recorded with a date and form values and appears in the table.

Did not take place

The appointment has been marked as canceled. The Date column shows "Did not take place", the Remark column shows the reason.

Independent reviews do not belong to any recurring appointment and are documented as soon as you record them. You document each appointment of a recurring appointment exactly once.

On the person's Employee Dashboard, the Upcoming events tile also shows the next open appointment per recurring appointment if it falls within the next 90 days.

Record a review

Use Record new review to document a review in two steps: first you select the appointment, then you fill in the form.

Select the appointment

Under Occasion, choose "Recurring appointment" (default) or "Independent":

  • Recurring appointment: Under Appointment, select the relevant appointment. ZEP offers the appointments of the last twelve months that have not been documented yet and the next upcoming appointment per rule. The Date field is preset to the planned appointment. The form is determined by the recurring appointment.

  • Independent: Enter a Title (up to 32 characters), select the Date (preset to today) and the Form.

If a recurring appointment did not take place, select the Mark appointment as cancelled checkbox and optionally enter a Comment (up to 255 characters). ZEP then saves the appointment directly, without you filling in a form.

Fill in the form

After Next, ZEP shows the form's fields in the layout defined by the form. Fill in at least the required fields and complete the review with Save. The Created by column shows who recorded a review.

Edit, copy and delete reviews

You can edit and delete recorded reviews, and also copy independent reviews.

Edit

Click the appointment in the table to open the Edit review dialog. For recurring appointments, occasion and appointment are fixed, while date and form values can be changed; for independent reviews, the title can be changed as well. If an appointment is marked as canceled but did take place, clear the checkbox and enter the date and form values. You replace or remove an uploaded document in the respective field.

Copy

You copy independent reviews via the Copy row action, for example as a template for a follow-up review. The copy gets the title with the suffix "(copy)" and takes over form values and documents; you adjust the date and values before saving.

Delete

To delete a review, use the Delete row action in the table or Delete in the open review. ZEP asks for confirmation before it removes the review from the table. If you only want to correct details, edit the review instead.

Warning: Deleting is permanent. ZEP also deletes the documents uploaded for the review.

Permissions

Who can view and maintain employee reviews is controlled by the Employee Reviews row in Roles & Permissions:

  • View: the Employee Reviews menu item with the review overview and the recurring appointment tiles, as well as upcoming appointments in the dashboard's Upcoming events tile.

  • Edit: record and fill in, edit, copy and delete reviews, and manage recurring appointments.

Administrators create review forms under Administration > Employees > Employee Review Forms, see Basic Settings – HR Management.
