The employee dashboard summarizes an employee's most important key figures on one page: booked times, absences and holiday, overtime, upcoming events, and planning. Managers and HR administrators see at a glance how an employee is doing, without opening individual reports.
Note: The employee dashboard is included in all product lines. Which tiles appear depends on your product line, the active areas, and your permissions.
Opening the dashboard
Open Employees in the main menu and click the username in the list. In the employee's navigation, Dashboard is the first entry, to the left of the Employee File menu group.
The entry appears as soon as you are allowed to see at least one tile for the employee. Each tile checks its permissions individually, so two people may see different tiles on the dashboard of the same employee. Administrators assign the permissions under Administration > My Company > Roles & Permissions in the Employee area, see My Company – Administration.
Tiles
The dashboard consists of eight tiles. The table shows when a tile appears. The permissions come from the Employee area in Roles & Permissions and always apply to the employee whose dashboard you open.
Tile | Appears if |
Project Times (in ZEP Clock: Working Hours) | you have the permission "Time, Receipts, Travel Expenses" (View). |
Absence requests | the Absences & Overtime area is active and you have the permission "Overtime & Absences" (Edit). |
Upcoming absence | the Absences & Overtime area is active and you have the permission "Overtime & Absences" (View). |
Upcoming events | you have the permission "Master Data" or "Working time model" (View), or, with the HR Management module, the permission "Employee Reviews" (View). |
Overtime & breaks | the Absences & Overtime area is active, you have the permission "Overtime & Absences" (View), and "Calculate and show overtime" is enabled for the employee. |
Annual holiday | the Absences & Overtime area is active and you have the permission "Overtime & Absences" (View). |
Project hours distribution | you have the permission "Time, Receipts, Travel Expenses" (View). Not in ZEP Clock, since ZEP Clock does not record project references. |
Planning | you work with Resource Planning and have the permission "Resource Planning" (View) for the employee. |
ZEP loads the data of each tile separately. If a tile cannot load its data, it shows "Data cannot be loaded", and the other tiles remain usable.
Times and planning
Three tiles show booked and planned hours. In each of these tiles, you select the period via its own selection at the top left.
Project Times
The tile shows the hours of the selected period as bars per day, split into "Billable" and "Non-billable" as well as vacation, paid absence, and holidays. For comparison, the target and the planned hours are displayed. The legend summarizes the totals and the average hours. You can choose from "Current month" (default), "Previous Month", "Current week", and "Last two weeks". In ZEP Clock, the tile is called Working Hours and shows the hours without a split by billability.
Project hours distribution
A pie chart shows how the actual hours of the period are distributed across projects. The default is "Current week", and the same periods are available as for the project times. Without bookings, "No bookings available" appears.
Planning
The tile shows the scheduled hours from resource planning, split into billable and non-billable shares, as well as the remaining open capacity. You can choose from "Current week" (default), "Current month", "Next month", and "Next two weeks".
Absences and holiday
With the Absences & Overtime area, the dashboard shows open requests, the next absences, the holiday account, and the overtime balance.
Absence requests
The table lists the employee's open absence requests with reason for absence, start date, end date, and days. Use Approve request and Reject request to decide directly on the dashboard. Your own requests are decided by another authorized person.
Upcoming absence
The tile lists the next up to three approved absences and counts the days until the next one. When planning assignments and substitutes, you see immediately when the employee will be absent next.
Annual holiday
The tile shows the remaining holiday and the holiday entitlement for the current year as well as the days that are taken, requested, approved, and planned. This lets you answer questions about the holiday account directly in a conversation, without opening a report.
Overtime & breaks
The tile shows the overtime balance to date, the balance of the current week, and the break violations in the current month. A growing balance or repeated break violations are a reason to address the workload early.
Upcoming events
The tile lists dates in the next 90 days. Which entries you see depends on your permissions:
Birthday: the next birthday, if a date of birth is stored. This requires the permission "Master Data" (View).
Years with the company: the next work anniversary with the number of years, calculated from the employment periods. It appears from the first full year and only if the employee is employed on the anniversary date. This requires the permission "Working time model" (View).
Employee Reviews: the next scheduled reviews with the HR Management module, see Employee Reviews – HR Management. This requires the permission "Employee Reviews" (View).
If nothing is due in the period, the tile shows "No upcoming events".
