With the HR Management module, the employee file also holds contract details, tax and insurance data, issued inventory and notes about your employees. Contract details as well as tax & insurance contain the information you need for payroll, each with a validity date. The article Feature Overview – HR Management describes which product lines include the module.
You find the pages under Employees > [Person] > Employee File in the menu items Contract details, Tax & Insurance and Notes. You maintain inventory directly on the Employee File page.
Note: You maintain regular working hours and the employment period in the Working time model of the employee file, and bank details in the employee file itself. This information is available for all employees, even without HR Management (see Employee data).
Contract details
The Contract details page lists all contract versions of the person in the Contract and social insurance table, newest first. Each version applies from its Valid from date until the next version. When contract terms change, use Create new contract to create a new version; the previous one remains as history.
On the Employee File page, the Current contract and social insurance card shows the version valid today, divided into Employment, Apprenticeship and Social and long-term care insurance. Under Employment, you see, among other things, Temporary agency work (yes or no), the Occupation code and, for Fixed-term and Probationary period, the respective end date. Under Social and long-term care insurance, you find PGS, BGS and the Children row with the number of children and how many of them are under 25. The card's icon takes you to the contract details.
Fields
The Create contract and social insurance data dialog is divided into sections:
Field | Description |
Valid from | Required. Must fall within the employment period and can be used only once per person. The Employment start shortcut sets the start date of employment; for the first contract, it is preselected. |
Highest school qualification | Selection from level 1 (no school-leaving qualification) to level 4 (Abitur/Fachabitur, university entrance qualification) as well as 9 (unknown). |
Highest vocational qualification | Selection from level 1 (none) to level 6 (doctorate) as well as 9 (unknown). |
Temporary agency work | Checkbox. |
Employee type | For example, salaried employee, apprentice, working student or mini-jobber. The selection suggests the person group and contribution group codes. |
Scope | "Full-time" or "Part-time". |
Position | Free text, up to 255 characters. |
Activity according to KldB 2010 | Selection from the German Classification of Occupations 2010, searchable by name and code. |
Additional employment | Free text, up to 255 characters. |
Fixed-term | End date of a fixed-term contract. |
Probationary period until | End of the probationary period. |
Notice period | "statutory", "4 weeks", "1 month to the end of the month" or "3 months to the end of the month". |
Activity key 2010 | Generated automatically from activity, school qualification, vocational qualification, temporary agency work, scope and fixed term, and only displayed. |
Person group code (PGS) | Selection, for example 101 (salaried employee) or 109 (marginally employed, mini-job). |
Contribution group code (BGS) | Four-digit code for health, pension, unemployment and long-term care insurance. ZEP offers only codes that match the selected PGS and takes into account the type of health insurance from the insurance data. |
Long-term care insurance: children | Up to 10 children, each with a date of birth and optionally a first name. ZEP shows how many of them are under 25. |
The fixed term and probationary period end no earlier than the start of the employment period that contains the Valid from date. You open a contract version via its Valid from date and delete it via the Delete row action or in the open dialog.
Tax & Insurance
The Tax & Insurance page contains two tables: Tax Data and Insurance data. As with contract details, each version has a Valid from date and applies until the next version. A new version takes over the values of the last version and is preset to the following day, so you only enter the changes.
On the Employee File page, the Tax data and Insurances cards show the version valid today.
Tax data
Use Add new tax data to record a new version. The Valid from date is no earlier than the start of employment.
Field | Description |
Wage type no. | Free text, up to 255 characters. |
Tax ID | Up to 32 characters. |
Tax bracket | I to VI as well as "IV with Factor". With "IV with Factor", the Factor field is required (greater than 0 and less than 1, up to three decimal places). |
Marital status | single, married, divorced, widowed or registered civil partnership. |
Child tax allowance | 0.5 to 6.5 in steps of 0.5. |
Taxable church membership | Denomination or "No church affiliation subject to church tax". |
Nationality | Selection based on the code list of the Federal Statistical Office of Germany. |
Place of birth, Country of birth | Free text or selection. |
Gender | Male, Female, Other or Indeterminate. |
Insurance data
Use Create new insurance data to record a new version. The Valid from date must fall within the employment period.
Field | Description |
Social insurance no. | The social insurance number consists of eight digits, one letter and three digits. ZEP checks the format and capitalizes the letter. |
European insurance no. | Free text. |
Type of health insurance | statutory, voluntary statutory, private or covered by family insurance. |
Health insurance provider | Selection from the stored directory of health insurers, grouped by type of fund. ZEP then fills in the Company number automatically. With "Other", you enter the Name of health insurer and the eight-digit Company number yourself. |
Company pension scheme | The provider in the Provider field and the Insured from date. |
Severe disability | Degree of severe disability from 20% to 100% and Pass valid until. |
Inventory
The inventory records which items a person has received, such as a laptop, company phone or keys. The Inventory card on the Employee File page shows all items that have not yet been returned. With more than ten entries, expand the list via Show all.
The card's pencil icon opens the Manage inventory dialog. There, each item has its own row:
Field | Description |
Item | Name of the item. Required, up to 85 characters. |
Description | For example, serial number or model. Optional, up to 85 characters. |
Issue date | Optional. |
Return date | Optional, must be after the issue date. |
Use Add more inventory to add rows, and the trash icon to remove a row. When you save, ZEP applies the list exactly as it appears in the dialog: removed rows are deleted, empty rows are discarded. Returned items remain visible in the dialog but no longer on the card.
Tip: When an item is returned, enter the return date instead of removing the row. This keeps a record of what the person received and returned, and when.
Notes
Under Notes, you record information about the person, such as agreements or remarks for HR work. The table shows title, date modified and content, with the most recently changed note first. ZEP records the creator and the last editor automatically; you can show both columns as needed and filter by them.
Use Create New Note to record a note with a Title (up to 64 characters) and a Note (up to 16,000 characters). The editor offers formatting such as bold, italics, lists and links. With the Create another note checkbox, the next note opens right after saving. You edit a note by clicking its title and delete it via the Delete row action or in the open dialog.
Note: The Comment card on the Employee File page shows the remark field from the person's master data. It is independent of the notes.
Permissions
You control the permissions in Roles & Permissions via the following rows of the permission matrix:
Contract details: View allows the Contract details page and the Current contract and social insurance card, Edit allows creating, changing and deleting contract versions.
Tax Data and Insurance data: Each row applies to its table on the Tax & Insurance page and its card in the employee file. The page appears as soon as either of the two permissions is granted. Edit allows creating, changing and deleting versions.
Inventory: View allows the Inventory card, Edit the Manage inventory dialog.
Employee Notes: View allows the Notes page, Edit creating, changing and deleting notes.
