Reports – Locations & Departments

Reports on hours, costs, cost allocation, and internal labor costs at the department level in ZEP.

The Reports > Departments section provides reports for structured analysis of hours and costs at the department level.

Tip: Each of the reports described here can be exported as a file. How the export works, which formats ZEP supports, and how the background export for large data sets works is described in the article Tips & Tricks for Using ZEP in the sections File formats of reports and Run reports automatically.

Department membership is also useful across all ZEP reports: you can filter and restrict time reports, HR reports, and other analyses to specific departments or locations.

Note: The Reports > Departments section is not available in ZEP Clock.

Times

The Times report shows all booked project hours of employees in a department for a selected period. You can filter by department and optionally include sub-departments. This report is suitable for an overview of utilization and project time allocation at the department level.

The report is split into two tables: the Employees table shows project hours per employee in the department; the Projects table presents the same data broken down by project.

Extended Cost Reports

The following reports are available in ZEP Professional and in ZEP Compact with the Revenue & Costs module. They require that costs are recorded in ZEP.

Costs

The Costs report shows the costs incurred per department based on internal hourly rates and employees’ booked hours. The breakdown separates internal and customer-related projects and gives an overview of the cost structure across your departments. All cost figures are based on the stored internal hourly rates. Administrators can view all departments.

Note: Flat-rate prices cannot be broken down by the employees’ departments – they are allocated to the department of the project.

A detailed breakdown is displayed for each department:

  • Internal projects (projects without a customer) + employees of the department with internal labor costs and other costs

  • Customer projects + employees of the department with internal and external costs

  • Projects of the department + employees from other departments

  • Projects of other departments + employees of this department

Mixed projects that contain both flat-rate and effort-based transactions are marked with an asterisk (*). Projects with no recorded times or receipts in the selected reporting period are not displayed.

Cost Allocation

The Cost Allocation report displays internal cost assignments between departments. It shows which costs were internally transferred from one department to another – including the receiving and sending department, the associated hours, and the internal costs.

Total Rates Internal

The Total Rates Internal report shows the internal payroll costs of employees per department. The basis is the stored internal hourly rates. The report also includes a cost balance that summarizes the net of own costs and allocated costs per department.

Employment Periods

The Employment Periods report shows which employees belonged to a department during which time periods. This enables historical tracking of department memberships.

The report can be filtered by time period, department, employee category, and free text. Time period quick-select options include future planning periods, making the report suitable for both historical tracking and forward-looking workforce planning.

For large data volumes, the report can be run in the background. You will receive a notification once the results are ready.
