Reports – Project Planning

Evaluate project state and overall status based on planned hours.

Written by Gideon Weller

The Project Planning module adds two reports under Reports > Projects > Project State: Project State Plan for detailed analysis of individual projects and Overall State Plan for an overarching view of multiple projects. Both reports are reserved for administrators, controllers, and project managers with budget responsibility.

Tip: Each of the reports described here can be exported as a file. How the export works, which formats ZEP supports, and how the background export for large data sets works is described in the article Tips & Tricks for Using ZEP in the sections File formats of reports and Run reports automatically.

Project State Plan

The Project State Plan report compares the planned hours and the actual hours recorded for a selected project. The table can be grouped by various dimensions:

  • by department: shows which departments have consumed how much of the plan budget

  • by employees: individual people and their bookings on the project

  • by activity: breakdown by recorded activity types

  • by task: planned and actual per task within the project

In combination with the Revenue and Costs module (ZEP Professional), planned and actual costs are additionally shown. In ZEP Compact with the Project Planning module, the report is limited to hours only.

Calling directly from the project

For a quick plan view of a single project, you do not need to go via Reports: the same report is available directly on the project detail page. In the report subgroup there, select Project State Plan and immediately see the planned/actual comparison for the opened project.

Overall State Plan

The Overall State Plan aggregates planned and actual values across all projects in a selectable period. The report is suitable for portfolio views, for example to recognize at a glance in which projects the plan is already largely consumed and where budget is still available.

The same grouping options as in the Project State Plan report are available. Filters allow you to include only certain customers, departments, or project statuses.

Calling directly from the customer

Note: Calling Overall State Plan directly from the customer detail page is only available in ZEP Professional.

On the customer detail page, you find Overall State Plan in the report subgroup and immediately see the aggregated planned/actual comparison of all projects of this customer. This saves the detour via the filters of the global report when the focus is on a specific customer.
