The customer reports bundle all global, cross-customer reports around customers — from master data overviews of the contact persons through sales forecast to overall status revenue and invoicing. You open the area via Reports > Customers in the main menu.
Which reports are visible depends on your product line, your role and the booked modules. In addition, on every customer detail view you find a dedicated reports menu with customer-specific reports that automatically filter on the opened customer.
Note: Customer reports are available in ZEP Compact and ZEP Professional, not in ZEP Clock. Which individual reports appear additionally depends on the booked modules — especially Invoicing, Revenue and Costs and Ticket system.
Report area in the main menu
In the main menu under Reports > Customers you find six central reports, grouped into Administration and Project status and revenue. Each report can be filtered, configured and exported as CSV or Excel.
Customer contact persons
The report customer contact persons lists all contact persons of all selected customers with master data, categories and ticket system access status. It is the central overview for sales and account management to see all contact persons with their roles across customers.
Filter options:
Department
Customer selection (multi-select, industry filter, optionally include inactive)
Contact person categories (maintained under Administration > Customers > Contact persons)
Ticket access (with/without/any — only with the Ticket system module)
Search term
Status (active/inactive/any)
The table shows customer number, customer name, salutation, title, first and last name (linked to the contact person), phone, email and categories. Export as CSV or Excel.
Key account managers
The report key account managers lists per selected customer the assigned managers with their permission attributes. It is the quick view of which employee is responsible for which customers and with what rights.
Filter options:
Department
Customer multi-select with industry filter and option for inactive customers
Per entry the table shows customer number, customer name, key account manager (linked to the employee), primary marker, right may edit customer and with budget responsibility. Export as CSV or Excel.
Permissions for customer access
The report permissions for customer access shows all customer contact persons with their ticket system permissions, grouped by customer and contact person category. It is the central compliance view of ticket system access from the customer side.
Filter options:
Department
Customer selection (multi-select with industry filter and option for inactive customers)
Contact person categories
The table shows username (grouping column), name (linked), email, customer name, inactive status and the individual ticket and project permissions. Columns are configurable. Export as CSV or Excel.
Note: This report only appears with the Ticket system module.
Sales forecast
The sales forecast calculates the expected revenue for the next months, years or a freely chosen period — based on the recurrence specified for invoice items, planned and invoiced amounts as well as still missing invoice items. You can also call the report for a past period to track revenue development.
Filter options:
Department (by project or by customer)
Period + scale (month / quarter / year, optionally cumulated)
Status of invoice items (planned, released, invoiced, canceled, missing)
Customer industry
Currency filter with optional conversion to the base currency
Calculation source for not-yet-invoiced items: from the planned amount or from currently booked times and receipts
Time sorting by planned or actual invoice date, optionally including payment term
Optional: show graph details
How the figures are calculated:
Planned and released invoice items with planned invoice date: amount is taken from the planned amount or calculated from current effort (depending on the setting).
Fixed-price items: always with the planned amount.
Invoiced (including canceled) items: with the actual amount.
Missing effort items: amount is always calculated from current effort.
Surcharge items in percent: always shown with the planned amount.
Note: Available with the Invoicing module. Visible to administrators, controllers and department managers as well as to key account managers for their own customers.
Overall State Revenue
The Overall State Revenue delivers an overview of incurred costs — internal cost rates vs. billable costs and the resulting revenue and profitability per customer. In a freely defined period, you can display all customer projects or only projects of certain customers.
Filter options:
Period
Customers or customer categories
Department (with the Locations and Departments module)
Currency and conversion to the base currency
Grouping by task, department or employees
External price calculation logic follows the order: project price table → customer price table → base price table. The internal cost rates for work compensation result from the internal hourly rate that is stored per employee in the employee administration.
If the billable amount cannot be determined from effort tasks, the planned amounts of fixed-price tasks are used instead and summed up to the project. Planned amounts of grouping tasks are not used as a substitute for the billable amount — they apply exclusively as actual planned figures.
Currency conversion: if the option „Convert all amounts to EUR" is selected, all amounts are converted to the base currency. The reference date for the exchange rate is for internal work compensation, mileage and per-diem the project time date, for receipts the receipt date, and for planned amounts the project start date. Exchange rates are maintained by administrators under Administration > Prices and Receipts > Exchange Rates.
Note: Available in ZEP Compact and ZEP Professional. Visible to administrators, controllers and department managers.
Overall State Invoicing
The Overall State Invoicing compares the invoicing status per customer, including planned, to-be-invoiced and already-invoiced hours and amounts across all projects of the customer. It is the central report for controlling invoicing and receivables tracking.
Filter options:
Period (service period, not invoice date)
Project status and project type
Customers, customer categories and tags
Project duration (until today): only projects starting from a defined date
Options: breakdown by tasks, show billable travel hours, show internal cost rates, show project plan figures and plan/actual comparison, show incoming payments
The table columns are configurable and grouped into the following clusters:
Billable hours — plan (total planned figure), actual (billable hours in the period), remainder (plan minus actual), actual/plan ratio.
Billable day rates — plan (offered day rates), actual (calculated from actual booked hours and the valid day-rate definition), remainder, actual/plan ratio.
Revenue — plan (work compensation plus receipts plus mileage plus per-diem/travel flat rates), actual (sum of the four invoicing columns), remainder, actual/plan ratio.
Net invoicing — missing effort, planned, released and invoiced invoice items in the period, plus plan minus invoiced and ratio invoiced/plan.
Internal cost rates — internal work compensation (booked hours × internal hourly rate), other costs, total costs and revenue (invoiced minus total costs).
Incoming payments with breakdown into received amount, reduction and remaining open balance.
All invoice items are considered whose service period lies fully or partially in the evaluation period — including those that extend into or beyond the period. Incoming payments always refer to whole invoices.
Note: Available in ZEP Professional with the Invoicing module. Visible to administrators, controllers, project controllers, department managers and project managers with budget responsibility.
Customer detail view
Via the sub-menu Reports on every customer detail view you reach customer-specific reports — they filter automatically on the opened customer and therefore require no customer selection. Filters like period, department or activity work analogously to the global reports.
Cover sheet
The cover sheet is a printable summary of all master data of the customer — address, contact persons, categories as well as price tables (only for administrators and controllers). It is suitable as an internal overview or for handover to accounting. Export as PDF.
Project times report
The project times report on the customer shows all booked project times for the current customer, groupable by project, employees, activity or period. It is the counterpart to the global project time report, automatically restricted to this customer.
Filter: period, project, employees, activity, activity category. Export as CSV, Excel or PDF/DOCX/ODT via the preview.
Receipts report
The receipts report on the customer shows all submitted receipts assigned to a project of the customer — travel costs, rental, expenses, material. Grouping by project, employees or receipt type.
Filter: period, project, employees, receipt type. Export as CSV, Excel or PDF.
Note: Available with the Revenue and Costs or Travel Expense Management module.
Customer billing
The customer billing report (or customer sales volume depending on the booked invoicing license) aggregates all billable items of the customer into a revenue overview. It shows revenue from project times, receipts and manual invoice items, grouped by project or cost group.
Filter: period, project, cost group. Export as CSV, Excel or Docgen print.
Note: Available with the Revenue and Costs module. The menu item is called „customer billing" with the Invoicing module, „customer sales volume" without it.
Overall State Plan
The Overall State Plan on the customer compares planned hours and day rates (from the milestone or task plan) with the actually booked values — across all projects of this customer. The report shows plan deviations per project, activity and task.
Filter: period, project, activity, detail level (customer / project / activity). Export as Excel.
Note: Available in ZEP Professional. Visible to administrators, controllers, project controllers, department managers and project managers.
Overall State Time
The Overall State Time on the customer shows booked project times by period (typically month), project and employees. If planned figures are available, it compares actual against plan. It is the medium-term view of the time consumption of a customer.
Filter: period, project, employees, grouping (by person or project). Export as CSV, Excel or Docgen.
Overall State Revenue
The Overall State Revenue on the customer multiplies the booked project times with the internal hourly rates and contrasts them with the billable costs. The result is revenue and profitability per project, activity, task or employee.
Filter: period, project, employees, activity, cost group. Detail level and grouping selectable. Export as CSV or Excel.
Note: Visible in ZEP Compact and ZEP Professional to administrators, controllers and department managers — the view is automatically restricted to the opened customer.
Overall State Invoicing
The Overall State Invoicing on the customer compares billable items with the actually created invoice lines. The report shows the invoicing status per project — planned, released, invoiced and missing amounts.
Filter: period, project, invoice status, activity. Table columns are configurable analogously to the main menu variant. Export as Excel.
Note: Available in ZEP Professional with the Invoicing module — visible to administrators, controllers, project controllers, department managers and project managers with budget responsibility, filtered on the current customer.
Open items
The open items on the customer list all invoice items that are not yet fully paid — with date, invoice number and open amount. They are the central view for receivables management and dunning stage decisions per customer.
Filter: period, project, invoice number. Export as CSV or Excel.
Note: Available with the Invoicing module and active incoming payment management in the administration.
Incoming payments
The incoming payments on the customer show all received payments per invoice with date, amount and payment method. They enable reconciliation against open items and tracking of partial payments.
Filter: period, invoice number, payment method. Export as CSV or Excel.
Note: Available with the Invoicing module and active incoming payment management.
Module-specific customer reports
With each add-on module further customer-related reports are unlocked that are described in detail in the module collections:

Revenue and Costs — receipt report with customer reference, cost center reports.
Travel Expense Management — travel costs per customer, travel flat rate distribution.
