Employee Reports

If you are an administrator, department head, or controller, you can access the submenu reports > Employees.

All employee-oriented reports are listed in this menu item. Some of them can also be found in the employee file under Employees > [Employee Name] specifically for the selected employee. In contrast, you can generate the reports under reports > Employees across multiple employees. As a department head, however, this may be restricted to employees assigned to your department.

Depending on the modules used, you have more or fewer reporting options here.

​Employment Periods:

Here you will find a graphical report of your employees' employment periods. For the set period (default is the first day of the previous month until the last day of the month four months from now = 5 full months), the employment periods of individual employees are displayed graphically as bars.

In the monthly columns, the sum of employees employed in the respective month is displayed in brackets.

By clicking on the bar, you can change the corresponding employment period.

You can have ZEP send this report automatically.

Employment level / periods:

In this report, you can determine the contractual employment status of your employees.


The level is always specified in relation to a full-time employee, i.e., someone who works x hours from Monday to Friday, where x is the number of hours per full-time working day for the availability level report under Settings > Employees (default is 8 hours).

  • The employment level refers to full weeks. This means that if someone only works Monday to Wednesday, the employment level in every month is 0.6 (regardless of whether one month has more Mondays than another).

If you use the Absences & Overtime module, this item is called "Availability Level".

Rights & Functions:

Here you can display the rights (user, user with additional rights, controller, administrator) and the function (e.g., department head) of the employees.

By clicking on the function, e.g., DH, you go directly to the corresponding employee's menu in the Department Head menu item for further information.

Change History:

As an administrator, controller, or department head, you can view the change history for all employee data at a glance here.

The last 6 months are preset as the report period.

You can restrict the results list by selecting one or more actions (create, change, delete, email sent) and specifying one or more areas.

Action: Email Sent

The entire text of the email, consisting of recipient, CC, BCC, subject, content, and, if applicable, the file names of the attachments, is displayed in the "new value" column. However, you only see approximately the first 20 characters. When you hover over it with the mouse, you can see the entire text in a tooltip.

Emails that are sent via your local email client rather than through ZEP are not listed here.

Here you can see who is currently present or absent:

  • Gray dot: Employee is absent

  • Green dot: Employee is present

​Clock-in / Clock-out:
Here you can get an overview of the clock-in and clock-out events of the employees.

For a selected period, you will receive a list of attendance records (clock-in/clock-out), booked project times and, if applicable, deviations between attendance and project times.

  • Absence overview

  • Absence report

  • Working times overview

  • Annual overview of absent days

  • Break overview

  • Month-end report
