ZEP profile information

You will find the Profile menu item in the "gray circle" with the initials of your first and last name in the top right of your ZEP. If you have uploaded a profile picture, this picture will be displayed instead of the gray circle.

If you move the mouse pointer over this profile, you can click on the menu item Profile or you can log out of ZEP here. If you use the Attendance module in ZEP, you can also "start attendance time" (arrive) here. You can also end attendance by clicking on "end attendance time" (leave).

Under Employees > Data you can activate the checkbox Start/End Attendance in the WEB interface.

Settings

General

  • Username: use this to log in to ZEP

  • Personnel number: Your personnel number (if assigned)

  • Rights: Your authorization level

  • ZEP language: the language set in your ZEP

  • Font: set your individual font here.

  • Font size: set your individual font size here (between 12 and 18). The font size is saved device-specifically so that when you use ZEP in the browser on any device (desktop, smartphone, tablet) you can set the optimal font size for you.

  • Show most recently booked projects when recording time: Set how many of the most recently booked projects you want to see in the project selection (default: 0, maximum number: 5). These most recently booked projects will then be displayed at the top of the selection list of projects under My ZEP>Record project time.

  • Calendar standard view: Set your preferred calendar view: month, week, day or appointment overview.

  • Password expiration date: Date on which your password expires and you must enter a new one (as specified under Administration>Settings>Password)

  • Upload profile picture

    If you go to Change Data, you can upload your own profile picture: move the mouse to the grey circle and click on the "pen and paper" symbol to upload a profile picture. Click on the "trash can" symbol to remove the picture.

You can make these personal settings using the [Change data] and [Change password] buttons.

  • Employee’s ZEP language

    If the employee has set the language to "-Default-", the language set under Administration > Settings > General applies to him. If an employee should not use the standard language but should use a different language, this can be set in the employee administration. Each employee can choose his or her own language: Each employee can set his or her language using the [Change language] button in the Profile menu item.The login page will then continue to be displayed in the default language, after logging in the user will see ZEP in his language.

E-Mail

In your profile, you can specify your preferred settings for the email client and the separator used for email addresses

Use ZEP mail client

If you want to use the integrated ZEP email client, activate the checkbox. If you prefer to use your own mail client, uncheck the box.

Separator for email addresses

Here you can specify whether a comma or a semicolon is used as a separator between the email addresses.

Once you as a user have saved your own settings for the email parameters under Profile > Email , changing the global setting ( Administration > Settings > Email ) will no longer have any effect for you.

Project managers and admins have the option of scheduling various project evaluations as a "task" (for the respective project). These tasks are then automatically executed by ZEP in the background, and the result file is saved here (it can also be sent as an email attachment). You can manage the scheduled tasks under My ZEP > Tasks . In the table you can see all of your scheduled tasks, the status, the execution, the last execution, the result of the last execution, the saved result file and the next execution.

  • You can use the PDF icon to download the file and the link icon to generate a download URL.

  • If you click on the name of a task in the table, the latest result files are available for download.

An administrator can also view and manage all tasks under Administration > System > Scheduler > Tasks :

  • Use the "Pen&Paper" icon to edit the task and use the "Trash can" icon to delete it.

  • You can pause the task using the "Power Button" symbol and reschedule it using the arrow symbol.

  • Additionally, you can now execute a task (independent of other scheduling).

Mobile Apps, Address Books, and URLs

Mobile Apps

Here you can find all relevant information for using the ZEP mobile apps.

Address Books

Under Profile > Address Books, you will find CardDAV links that allow you to access the contacts visible to you — including employees, customers, and their contacts — on your smartphone or in any other address book application.
Once connected, your smartphone or address book app will display all ZEP contacts you have permission to view.

Calendar

In your profile, you can integrate your ZEP calendar with other applications (e.g., Outlook or Thunderbird-Lightning).
This allows you to access your ZEP calendar entries from virtually any platform.

In the following sections, you will find information about:

  • Which calendars you are allowed to view or edit (table: employee calendars shared with me)

  • Who is allowed to view or edit your calendar (table: shared by me)

Integrating ZEP Calendars in:

  • Thunderbird-Lightning

  • OS X and iOS

  • Outlook

  • Android

IOS

If you want to integrate your ZEP calendar into your iPhone, proceed as follows:

  1. Click on the calendar on your iPhone.

  2. In the settings, select "Add account".

  3. Click on "Other".

  4. Select "Add CalDAV account"

  5. Under Server, enter the exact details from your ZEP and enter your ZEP user name and password.

  6. Save your information.

You will then have all contacts from ZEP in the Contacts app in addition to your own entries and can show or hide these contacts via groups.


Android

If you want to integrate your ZEP calendar into Android systems, proceed as follows:

  1. Install DAVx⁵. You have two options here: you can install the paid version via the Google Play Store or you can use the open source version from f-droid.org

  2. If you want to install the free version of DAVdroid, proceed as follows:

    1. Search for " f-droid.org " in your browser

    2. On the corresponding page, go to the menu and select "Browse"

    3. In "Search" enter "DAVx⁵" and select the corresponding entry.

    4. Under "Packages" select "download apk".

    5. Then go to "Downloads" on your smartphone and open "at.bitfire.davdroid_xxxx.apk"

    6. If you now receive the message "For security reasons, you cannot install apps from unknown sources on your phone", you must allow the installation of apps from "unknown sources" in the settings of your smartphone.

  3. Go (back) to Downloads and install DAVx⁵.

  4. "Open" the application. In response to the message "Open Task... not installed" you can select "do not show again" because this is not needed.

  5. On the "Welcome" page You can now add a CalDav/CardDAV account." click on the "plus sign" and select "Login with URL and username"

  6. Create an account.

  7. Click on the name of the created account and select the corresponding calendars.

  8. Once you have installed the free extension, you should finally deactivate the option "Install from unknown sources" in the settings!

  9. Give DAVx⁵ permission to access the calendar.

Outlook

If you want to integrate your ZEP calendar into Outlook, proceed as follows:

  1. Install the Outlook CalDav Synchronizer extension (from Outlook 2007).

  2. Go to the "CalDav Synchronizer" tab and select "Synchronization Profiles".

  3. In the window that opens, click on the second icon from the left: "Add multiple profiles"

  4. Under "Select Profile Type" "Generic CalDAV/CardDAV" is already selected, click "OK"

  5. In the next step, under "Sever settings" DAV URL, enter the calendar URL from ZEP. Enter your ZEP user name and password.

  6. Click on the button "Discover and assign to Outlook folders".

  7. Outlook will now show you the available ZEP calendars. In each row, click on the "..." and select the Outlook folder in which you want this calendar to be displayed. Please make sure that you specify or create a different Outlook folder for each ZEP calendar.

  8. Click "OK"

  9. Synchronization settings:

    for appointments: Outlook <--> Server (Two-Way) as standard

    for absences: Outlook <- Sever (Merge)

    Do not use the replica versions under any circumstances, as this will delete all appointments in Outlook!

  10. 1If you want Outlook to always synchronize the calendar after changes, activate the checkbox "Synchronize items immediately after change" in the "Options" window of Outlook.

  11. Finally, click "OK".

Thunderbird-Lightning

If you want to integrate your ZEP calendar into Thunderbird-Lightning, proceed as follows:

  1. Install the Thunderbird extension Lightning to use calendar functionality.

  2. Install the CALDAV - Search/Subscribe extension.

  3. Create a new calendar via File -> New -> Calendar and select "on the network".

  4. Select CalDAV as the format and enter the calendar URL "http(s)://…." displayed in ZEP.

  5. In the final step, enter your ZEP user name and password.

If you now want to see all your calendars shared in ZEP in your Thunderbird-Lightning calendar, proceed as follows:

  1. Right-click on your calendar name (left under "Calendar") and select "Find Calendar (CALDAV)".

  2. In the following window, select your calendar and activate the checkbox "only search your own user account" and click "Search".

  3. Your ZEP user name appears in the "Select user or share name" field. Select this and click "List calendars".

  4. All calendars for which you have access ("ZEP user name" appointments or "ZEP user name" absences) are listed.

  5. 5.Select the appropriate calendars, click "Subscribe" and finally click "OK".

All subscribed calendars will now be displayed.

If you already have a calendar with different login details (not those of ZEP) and if you want to add the ZEP calendar, you have to do the following (connect multiple calendars with different login details):
