With the Tidely integration, you transfer invoice and project data from ZEP to Tidely as cash flow values. Tidely is a tool for digital liquidity planning: the transferred values produce a forecast of expected incoming payments. ZEP is the leading system, and data flows exclusively from ZEP to Tidely.
Data direction: ZEP → Tidely
Product line availability
Note: The Tidely integration is available in ZEP Professional. It can be booked via the Self-Service Tool.
The integration requires the add-on module Invoicing, because it transfers invoice data. Without Invoicing, no invoices are created in ZEP that could be transferred to Tidely.
Setup and configuration are reserved for administrators.
Prerequisites
To set up the integration, you need:
Access to the Connector Marketplace in ZEP
The add-on module Invoicing, so that invoice data is available
A Tidely account on a plan that includes the Tidely interface
The credentials for the interface generated in Tidely
Tip: You generate the credentials in Tidely, not in ZEP. The interface is not included in every Tidely plan. Check this before booking so that the integration can actually be used once it is set up.
Setting up the integration
In ZEP, go to Administration > Interfaces > Connector Marketplace. Under the available integrations, select the Tidely card and add it. You will be guided through the booking process in the Self-Service Tool.
After booking, open the integration from the marketplace card and enter its configuration. The form has two areas:
Authentication settings with the API token from Tidely and an optional API base URL. You only override the base URL for a sandbox, normally it stays empty.
Data synchronization with the option to transfer invoice items to Tidely and the daily synchronization start time in HH:MM format. The transfer and the start time 02:00 are preset.
Use Test Connection to check that ZEP can reach Tidely with the token before the first transfer runs. If the test fails, check the token first and then whether your Tidely plan includes the interface.
Data transfer
The integration transfers billed invoices from ZEP to Tidely. It runs in this direction only, changes made in Tidely do not affect ZEP.
Invoices
Tidely works with one amount per invoice rather than with individual items. ZEP therefore combines the billed items of an invoice and creates one entry in Tidely per ZEP invoice. The following is transferred:
Invoice number as the identifier of the entry in Tidely
Customer name
Gross amount as the total of the billed items of the invoice
Invoice date and payment term, if set in ZEP
Category of the associated project
From the invoice date and the payment term, Tidely determines when an amount is likely to affect cash flow. The entry is created in Tidely as an outstanding receivable. Tidely then determines the payment state itself from the amount still outstanding.
If you cancel an invoice in ZEP, the corresponding entry in Tidely is marked as cancelled and thereby drops out of the liquidity planning.
Example: A ZEP invoice with three billed items of 400, 350 and 250 euros appears in Tidely as one entry of 1,000 euros under the invoice number of that invoice.
Classification in Tidely
So that the amounts can be evaluated in Tidely, ZEP creates the matching category structure automatically during the first synchronization. It has three levels:
The top level is the fixed entry ZEP-Projekte
Below it, one level is created per customer. ZEP collects projects without a customer under Interne Projekte
On the lowest level there is one entry per project
Each invoice is assigned to the category of its project.
Tip: Give customers and projects unambiguous names in ZEP. The category structure in Tidely adopts these names, and your reports there are only as clear as the names in ZEP.
Limits of the transfer
Three points are important when working with the integration:
Planned and approved invoice items are not transferred. An invoice appears in Tidely as soon as it has been billed in ZEP.
Payment states from Tidely are not written back to ZEP. If you mark an invoice as paid in Tidely, the state in ZEP remains unchanged.
Invoices without a customer name are skipped, because Tidely treats the recipient as a mandatory entry.
Synchronization and log
Once set up, the transfer runs once a day at the configured start time. After the first synchronization, ZEP only transfers changed invoices, keeping ongoing synchronizations small.
The quick actions on the integration's detail page let you trigger an additional synchronization, for example after you have changed the configuration. The same page shows the transfer history, meaning when the last synchronization ran and whether it succeeded. If an error occurs, first check there whether the connection is still in place.
Configuration and synchronization run entirely via the Connector Marketplace. No task needs to be set up under Administration > System > Tasks.
You continue to maintain invoices and projects in ZEP. Tidely uses the transferred values solely for liquidity planning, and no data is transferred back into ZEP.
