Project Times and Receipts – Administration

Settings for time and receipt entry — work break regulation, mail templates, receipt mailboxes and activities.

The Project Times and Receipts area in the administration bundles all settings around time and receipt entry — project time settings, work break regulation, project time mail templates, mailboxes for receipt inboxes and activity management. Reachable via the main menu under Administration > Project Times and Receipts (in ZEP Clock alternatively Working Hours and Receipts).

Note: The area is available in ZEP Clock, ZEP Compact and ZEP Professional. Which subareas are visible depends on the product line and the booked modules — in ZEP Clock the mailbox management is omitted, in ZEP Compact and ZEP Professional all areas appear. Time recording settings

These settings control the behavior of time recording — from the default view to validation rules to mandatory fields and auto-booking behavior.

Settings

General settings for project time and working time recording — default values for new bookings, mandatory field definition, validation rules during entry, default calendar view and activation of travel splitting. These settings affect all employees and concern daily time booking.

Work break regulation

Note: Only appears when the work break regulation is activated in the settings.

Configuration of automatic break deductions on clock-ins — for example the statutory mandatory deduction starting from six working hours. Per rule, thresholds, deduction duration and weekdays can be maintained. The work break regulation acts automatically on all attendance bookings and can be overridden per employee.

Mail templates

Note: Does not appear in ZEP Clock since no project-related mails are dispatched there.

Templates for automatic mails around project times — for example reminders for not-yet-recorded days, confirmations on submitted times or dunning mails to employees with outstanding time entries. Per template, subject, main body and placeholders can be maintained, separately per language.

Mailboxes

Note: Only visible in ZEP Compact and ZEP Professional with active receipts module.

Configuration of receipt inboxes — e-mail addresses to which employees can send receipts by mail. Per mailbox, receiving address, filter rules, error handling and assignment to the responsible employee can be maintained. Detail workflow see Receipt inbox.

Activities

Note: In ZEP Clock only appears when activity management is activated in the settings.

List of activities that can be used in ZEP Clock for simple classification of attendance times. In contrast to the project-bound activity list in ZEP Compact and ZEP Professional, Clock activities are project-independent. Per activity, designation and sort order can be maintained.

Effects on other areas

The project time and receipt settings affect daily time recording of all employees — detail documentation is available in Project times and working times. Receipt mailboxes connect with Receipts and become visible in the Personal area of employees. Mail templates act in all automatic dispatch functions around times.
