Absences and Overtime per Employee

Learn how to enter absences, adjust overtime and holiday accounts, and view individual reports in the employee profile.

The module enables administrators and authorized managers to enter and manage absences directly for employees, manually adjust overtime and holiday accounts, and view individual monthly reports – regardless of whether employees can record absences themselves.

Entering absences centrally

Administrators and managers can enter, edit, and delete absences for employees directly under Employees > [Employee Name] > Administration > Calendar. Unlike self-entry by employees, all configured absence reasons are available – regardless of which reasons have been released for self-service.

Click on a free day in the calendar to create a new absence. The form contains the following fields:

  • Period: Start and end date of the absence.

  • Reason for absence: Select from all configured absence reasons. The selection determines whether approval is required and which duration options are available.

  • Duration of absence: Depending on the absence reason, the following options are available: full day, half day, or hourly entry with specific start and end times.

  • Remark: Optional free-text field for internal notes about the absence.

  • Approved: This checkbox appears when the selected absence reason requires approval. Administrators can mark the absence as approved directly when creating it.

Note: Closed months are locked – absences can only be changed or deleted there after the month-end closing has been reopened. To edit or delete an existing absence, click on the relevant calendar entry.

Balancing overtime and holiday accounts

Under Employees > [Employee Name] > Overtime & absences > Balancing overtime and holidays, administrators and managers can manually adjust an employee's overtime and holiday account. Typical use cases include paying out overtime, compensating with time off, corrections when introducing the module, or transferring balances from legacy systems.

The overview shows all previous adjustments in chronological order by month. Click Edit in a month row to open the adjustment form:

  • Overtime: Choose between compensated overtime – the entered amount is deducted from the overtime account – and credited overtime – the amount is added to the account. Enter the value in hours and minutes.

  • Holiday days: Similarly, choose between compensated holidays (days are deducted) and credited holidays (days are added), and enter the number of days.

  • Remark: Free-text field for the reason for the adjustment. If the option Show remarks to balanced holidays + absenteeism in the month-end evaluation is enabled in the basic settings, this text appears in the employee's Month-End Report.

Reports in the employee profile

The navigation group Overtime & absences contains additional reports that apply to the currently open employee and are accessible to administrators.

Work Break Overview

Note: This report is only visible if a break rule has been configured for the employees.

The Work Break Overview under Employees > [Employee Name] > Overtime & absences > Work Break Overview shows the compliance with break requirements per employee on a day-by-day basis. For each day it displays: start and end of working time, minimum break, observed break, missing break, and the net working time adjusted for break deductions.

Month-End Report

Under Employees > [Employee Name] > Overtime & absences > Month-End Report, administrators receive a summary of target and actual hours, absences, and the overtime balance for the employee. The default period shows the previous month up to the 15th of the current month; from the 16th onwards, the current month up to today. The period can be adjusted at any time.
