Actions

For each employee, you can choose between pseudonymization or deletion for data management.

In the Actions menu, you can access the sub-menu items Pseudonymize and Delete.

Pseudonymizing Employees

Employees who have left the company (with an employment end date in the past) can be pseudonymized by an administrator or department head.

During pseudonymization, all private data of this employee is replaced by pseudonyms to prevent the identification of the employee's identity.

The following data is pseudonymized:

  • Username, first name, and last name

  • Working times and other entries

The following data can be deleted or pseudonymized:

  • Employee master data (deleted)

  • Entries for absences and the calendar

  • Assignments (e.g., department head)

This action cannot be undone!

Deleting Employees

You can only delete an employee if there are no working times or absences (only applicable with the Absences & Overtime module) associated with them.

Generally, we advise against deleting an employee, as you would then have to delete all (time) entries. This not only involves high manual effort but also results in the loss of all data stored for the employee in ZEP.

If you wish to archive an employee, we recommend simply ending their employment period.
