Employee Management

Filter, sort and export employee data in the central overview of ZEP Clock.

If you are an administrator, department head or controller, you can select and edit or evaluate a specific employee in the Employees menu item.

By default, only employees whose employment periods overlap with the current month are displayed. Therefore, if you set an employee's exit date, the employee will disappear from your employee table on their own over time. However, if you wish to run evaluations for the employee, you can set the evaluation period accordingly.

In employee-oriented reports, employees are always offered for selection for the set evaluation period. This means you always see the employees whose employment period overlaps with the evaluation period.

A department head can only create new employees for "his" department(s) (in each case at most with the "User with additional rights" authorization) and change the data of these employees. He can neither see nor create new employees from other departments.

A controller only has read rights for the employees, i.e. he can view the cover sheet and evaluate the employees for all employees.

As an administrator and as a department head, you can create a new employee with the + New employees button.

Employee Management Overview

The table displays a list of all currently active employees based on their entry and exit dates. Using the employment period selection, you can restrict or expand the list according to the specified timeframe. The employment period column only shows the most recent employment period that overlaps with the timeframe set in the form. Optionally, you can specify whether to display employees who were employed during this period (default), those who joined (entry), or those who left (exit).

Advanced Filter Options

The filter not released until is available if you have activated the release mechanism under Administration > Employees > Settings. By specifying a date, you can see which employees have not yet released their times by a certain deadline.

Optionally, you can specify one or more employee categories. If you provide more than one category, you can optionally activate the AND or OR link.

Employee Table Overview and Configuration

The table shows all employees along with their most important data, including their ZEP rights. These rights include user rights ("User" and "User with additional rights"), controlling rights ("Controller"), and administrator rights ("Administrator"). The rights of a department head are not explicitly assigned; they are automatically granted for a department as soon as a user becomes a department head for that specific department.

Configuration of Table Columns and Sorting

Under Configuration Table Columns, you can select the desired table columns to be displayed in HTML (in the browser) and for export as CSV. You can define the order individually by clicking on the three dots to the left of the designation and dragging it to the desired position while holding down the mouse button.

By clicking the download icon next to the gear symbol, you can export the table as a CSV or Excel file.

Under Configuration Sorting, you can set the sorting of the employee list. You can also sort the employee list by clicking on the table column headers. Clicking a second time on the column header will sort the list in reverse order.

Bulk Operations

Select one, several, or all employees and choose the desired Action:

  • Change start/stop for attendance in the web interface.

  • Change department assignment (requires the Departments module).

  • Change permissions.

  • Enable or disable manual time recording.

  • Add a category.

  • Remove a category.

  • Enter absences (requires the Absences & Overtime module).

  • Change break regulations (may create new regular working hours).

  • Change compensated overtime (requires the Absences & Overtime module).

Then click Execute action to apply the changes to the selected employees.

Numbers and most special characters are sorted before "A".

German umlauts are sorted after "Z".
