Project Overview

filter, sort, and export your project data in the central ZEP project overview

You will have access to this menu item if you are an Administrator, Department Manager, or Project Manager.
If your organization uses the Ticket System or Document Management modules, all ZEP users will see this menu item — however, access will be restricted based on user permissions, meaning users will only see the tickets or documents related to their assigned projects.

When you click on Projects in the main menu, you are automatically directed to your Project Overview.
Depending on your role and access rights, you may see more or fewer projects.

From this overview, you can:

  • Select and edit an existing project, or

  • Create an entirely new project using the “Create new project” link.

Project management

Project management includes the recording and maintenance of all project data. They form the basis for employees to book time and are the basis for the various evaluations.

Here you will find a quick overview of your projects: as soon as you open the page, the projects that are current in the current month in terms of start and end dates are listed in the table.

The project list in the project table is restricted depending on your authorization level :

  • If you have Administrator or Controller permission, you will see all projects .

  • If you are a department manager and set up the department you manage, you will see all the projects in that department . (Alternative: As a department manager, it is better to access it via the main menu item "Departments", go to your department and then to the submenu item "Projects".)

  • Otherwise, you will only see the projects for which you are registered as a contributor. For these projects, you may be able to see tickets and/or document management. For projects for which you are registered as project manager, you have more rights.

Configuration table columns

Click on the "gear symbol": under Configuration Table Columns you can select the desired table columns for display in HTML (in the browser) and for export as Excel/CSV . Set the order individually by clicking on the symbol with the mouse pointer and dragging it to the desired position while holding down the mouse button.

Using the download arrow icon: you can export the table in Excel or CSV format (depending on your settings under Configuration > Table columns > Excel/CSV ).

Sorting

You can sort the project list by clicking on the column heading by abbreviation, name, status, billability, start date, end date, KNr. If you click on the column heading a second time, the list will be sorted in the reverse order. The default sorting is by abbreviation. Numbers and most special characters are sorted before the A. German umlauts are sorted after the Z!

Filter and Search

The project list can be influenced by several filter or search criteria. Only the projects that meet all the set criteria are included in the list.

  • Department with/without sub-departments (only if you use the additional module Departments)
    You can restrict the project list to a specific department. Use the selection box to specify whether to include projects from the sub-department.

  • Period
    The "period" filter is preset to the current month and thus restricts the project list to current projects. You can also specify whether the projects are valid , start or end in this selected period. You can change the period: All projects that were bookable at some point in the set period (and also correspond to the other filters set) are taken into account. This means that you can also get "old" projects (i.e. end date in the past) and "future" projects (i.e. start date in the future) in the list.

  • Search term
    You can further narrow down the selection by entering a search term. All projects that contain the search term - regardless of upper or lower case - in the short form or in the name (and also match the other filters set) will be included in the list.

If you click on "Advanced filter options" you can further narrow down the results list:

  • Project status
    Each project has a project status that you can filter by.

  • Project category
    You only have this filter criterion if you have defined categories in the master data . You can also specify more than one category and optionally activate the AND or OR link

  • Currency
    If you only want to consider projects submitted in a specific currency, enter that currency here.

  • Search term
    You can further narrow down the selection by entering a search term. All projects that contain the search term - regardless of upper or lower case - in the short form or in the name (and also match the other filters set) will be included in the list.

  • Tags
    You only have this filter criterion if you have defined keywords in the master data . You can also specify more than one keyword and optionally activate the AND or OR connection. You can also specify -without- as a keyword.

  • Alphabet
    If you click on one of the letters, all projects whose abbreviation or name begins with this letter and matches the search criteria specified above will be added to the list. You can recognize the selected letter by the slightly larger and bold font in the alphabet row.

    Click all to remove the restriction to a single initial letter.

Project table

If you click on the project short form you will jump to the corresponding project

  • Copy project
    You only have the "Copy" function in your project table if you can also create projects. This allows you to copy the corresponding project from the table complete with all planned figures, processes, employee assignments and price tables. Optionally, time periods (processes, project employees) and tickets can be adopted from the template project.
    After clicking on " Copy" , a project is created whose short form consists of the short form of the first project with the addition "- Copy" and you are taken directly to the data page of the new project. Here you can change the short form of the new project and make any further adjustments if necessary.

If you copy an existing project, the status of the template project is not copied, but a "new project" is always automatically assigned the first status in the sequence. The same happens with project processes.

If similar or identical projects are implemented frequently, you can create a "template project" for each one and, if necessary, copy the entire project, including all billing formats, processes, employees and price tables. You then only need to adjust the required data, such as the short form and name, start and end dates, planned external costs, etc.

  • Important project data can be recorded here at a glance: Planned hours, actual hours, planned costs...
    You can use the arrow to set a single project to a subsequent status.

  • Optionally, you can display the category(s) of the projects here if you have specified this under Administration > Settings > Projects .

  • If you click on the customer number (Knr), you jump to the corresponding customer.

  • Mass operation
    Select one/several or all projects and choose the desired "action":

    • Switch to another status

    • Set project end

    • Add category

    • Remove category

    Then click on the "Execute action" button. The marked projects will be rebooked.

Abbreviation of the billing type of the respective project:
T = in expenditure according to daily rate
S = in effort according to hourly rate
P = P ausschalprojekt
i = internal project (without client assignment)
* = this project contains both expense and flat-rate activities

Filter by currency

If you only want to consider projects that were submitted in a specific currency, enter this currency here. Optionally, the planned costs of projects with a different currency can also be converted into your base currency. To do this, activate the checkbox "Convert planned costs to base currency" . The planned costs in the base currency are displayed in an additional column in the table.

The planned costs are converted to the start date of the project.
