Timesheets

A wide range of timesheets are available for selection as internal and external reports per employee.

You will receive the following tables for each employee, each related to the set period:

  • Project times: Each project booked in the period with its activities and the total project times per activity in hours and days.

  • Billable daily rate shares: If daily rate projects have been posted, the billable daily rates of these projects are displayed, based on the definition of daily rate shares applicable in the project.

  • Absences: broken down by reasons for absence. The column "entered days of absence" shows days of absence in relation to the employee's regular working hours. This number can differ from the "[n]-hour days".

  • Effective hours: These are all project times and all paid absences, surcharges (due to special times) and, if applicable, minus the times from deductions due to non-compliance with break regulations.

  • Overtime: These are the actual hours minus the target time.

In the form, you specify how many hours per day should be included. The "[n]-hour days" column is calculated accordingly.


If you do not use the Overtime & Absences module, you will only see the first and, if applicable, the second table.

You can also run this analysis in the background . If you select pdf, doc, docx or odt instead of "Preview", you can then click the Run in background button.


You can view and manage all your scheduled tasks under Profile > Settings > Tasks.

Timesheet details

Under Reports > Timesheet Details you can create a timesheet for one or more projects in a period of time. You can also find the report in the employee file under Timesheet Details and under Reports > Employees > Timesheet Details.


It is suitable for presentation to the customer.

  • Select which projects should be displayed in the evaluation and whether you want to restrict billability. For time sheets that you want to present to the customer, it may be useful to only display billable times in the evaluation. The employee list / project list can be updated after changing the time period. This may be necessary because only those projects whose durations overlap with the evaluation period are displayed in the list.

  • Specify the billability

Optionally, you can activate the following checkboxes:

  • With subtotals by date: all project times are displayed and a subtotal for each day.

  • Structure by projects: for each project a separate table with a total line for the project is created

  • With from-to: in addition to the hours, the from-to times are also displayed.

  • With legend places: the legend of the places is listed below the table(s).

  • With signature block in the print version

Timesheet with absences and holidays

Each employee can create the detailed timesheet analysis with absences and public holidays for themselves. An administrator or department head can call this up for one of their employees.


Set an evaluation period and optionally specify:

  • Subtotals by date

  • with from-to

  • with legend places

  • if necessary with signature fields in the printed version.

The evaluation lists all booked times according to the settings, holidays and absences are displayed with the number of hours according to the regular working hours on that day. Hours recorded on a holiday or on a day with booked absences are also displayed.


Timesheet with task totals

Under Reports > Timesheet details... with task totals, a timesheet can be created that is restricted to one or more tasks within a project. All project time that has been booked to the project (task) is displayed. In contrast to the previous report, the times are grouped per task and a subtotal of the hours is displayed.


This proof is therefore suitable for presentation to the customer.

  • Select which project should be displayed in the evaluation and whether only individual tasks of the project should be displayed. The project list can be updated after changing the period. This may be necessary because only those projects whose duration overlaps with the evaluation period are displayed in the list.

  • Select whether you want to restrict this project according to billability. For time records that you want to present to the customer, it may be useful to only display billable times in the evaluation.

  • Select whether you want a signature block to be displayed in the print version.

Timesheet with daily totals

This evaluation can be created for one or more projects. Here, exactly one line is calculated for each day and task. Project times with the same date, project and task are combined into one line. Each line contains the total number of hours worked on the task on that day, even if the time was spread over several periods throughout the day.

If you instead want all project times to be displayed and only a subtotal per day, use the "Timesheet Detail" and check "With subtotals by date".

  • Select which projects should be displayed in the evaluation. The project list can be updated after changing the time period. This may be necessary because only those projects whose durations overlap with the evaluation period are displayed in the list.

  • Select whether the display should be restricted according to billability. For time records that you want to present to the customer, it may be useful to only display billable times in the evaluation.

Optionally, you can activate the checkbox Daily totals by activities, then the activities for each day will be displayed as daily totals.


Timesheet with daily rate shares

This timesheet shows the daily rate shares per day and employee in relation to the daily rate definition from the master data . It is an internal view and answers the question "What daily rates would the employee have to be credited with if he were to be billed according to daily rates?"


The evaluation can be created for one or more projects. This evaluation is suitable for projects of a customer for whom you charge daily rates instead of hourly rates.


This evaluation is available via Reports > Employees > ...with daily rate shares , as well as from the submenu item ...with daily rate shares of an employee selected in Employees.

  • Select which projects should be displayed in the evaluation. The project list can be updated after changing the time period. This may be necessary because only those projects whose durations overlap with the evaluation period are displayed in the list.

  • Select whether the display should be restricted according to billability. For time records that you want to present to the customer, it may be useful to only display billable times in the evaluation.

  • Incl. hours: The “Hours” column is only displayed if this setting is selected.

The times for the selected project (or projects) are summarized per day. The daily rate is calculated from the number of hours, depending on the definition of the daily rate components in the master data.


Select whether you want a signature block to be displayed in the print version.

Project timesheet

With this evaluation, you as an employee create a timesheet for a project, which you can optionally also present to the customer for signature.


Only times booked for billing are taken into account. The format of this evaluation corresponds to the settings under Project > [Project name] > Billing settings > Format.


Set the desired evaluation period. Depending on this, a list of projects that are valid during this period will be offered.


Internal projects are not offered. Use the project time report for this.


If you would like to have a signature block in the print version, activate the corresponding checkbox and, if necessary, restrict it to "Employee signature" or "Customer signature".
