Assignments

See which projects, roles or functions an employee is assigned to in ZEP.

Here you will get an overview of your employee's assignments. As an administrator, you can not only edit the employee's existing assignments here, but also add new ones. A department manager can also view and edit this for employees in his department here if you use the Departments, Branches & Locations module.


An employee can only see the menu items Customer Responsible and Department Head (with the Departments, Branches & Locations module) under My ZEP > Reports if assignments exist for him here. The assignment to projects is always visible to the employee at this point.

Projects

In the Projects submenu item, you can see all the projects to which the employee is assigned in a certain period of time and with which functionality. You can also assign the projects to which the employee should be assigned here.


Filter:

The filter period is preset to the current month and thus limits the project list to current and future projects. You can adjust the period as needed.

The Projects selection box displays all projects to which the employee is assigned in the selected period. If the employee is new and has not yet been assigned to a project, the list is empty.


​Tasks:

  • none: the assignment to the project is displayed in one line

  • bookable: in addition to the project, all processes for which the employee can record times and documents are displayed in one line each.

  • all: all processes of the selected projects are displayed.

If you move the mouse pointer over the blue assignment bars in the results table, additional information about this process will be displayed in a small toolbox.


You can use the Assign employee to other projects button to assign the employee to other projects:


In the pop-up that appears, select the desired projects and specify which price group and assignment period the employee should be assigned to the project.


Click Apply if you want to assign the selected projects to the employee and then assign additional projects with different price groups / time periods. Click OK when you are finished assigning employees.


Using the Copy project assignment from another employee button, you can copy the project assignment of another employee to the selected employee:


From the “Template Employees” list, select the employee who has the project assignments you want to transfer and confirm the selection with Copy .


If you want to change the employee's function in a project, click on the symbol (project employee) or (project manager) in the row of the corresponding project. In the pop-up that appears, you can change the function accordingly.

A project employee with the function “project manager” is considered the project manager of the project and can evaluate it and (if he is a “user with additional rights”) plan it.

You can delete the employee assignment using the trash can icon. This is only possible if the project employee has not yet booked any times on the project.

Use the plus symbol to create another assignment period for the employee. Note that the new period must not overlap with the previous period. Dividing into several periods is useful if the employee is to be assigned to a different price group during the project, or if the employee is not allowed to book on the project for the entire duration.

By clicking on the blue bar in the period row you can change the settings for the corresponding assignment period.

Key account manager

All customers for whom the employee is defined as the key account manager are listed. It is also shown whether the employee is the primary customer responsible, whether he or she is allowed to edit the data of the relevant customer and whether he or she has budget responsibility. By clicking on the customer, you will be taken to the data of the relevant customer.


Head of Department:

This item is only displayed if you use the Departments, Branches & Locations module.


All departments in which the employee is defined as department manager are listed. In addition, you can use the Change department manager assignment link to define the employee as department manager in other departments or remove the management option.
