In the Administration > Other area, ZEP bundles reusable cross-cutting settings that affect several functional areas at once: text modules for emails, the audit logging for master-data changes, the error notification for background tasks, and the mail templates for appointments.
Text Modules for Emails
In Text Modules for Emails, you maintain reusable text blocks — for example signatures, disclaimers, or standard replies. When writing or editing a mail template, the text modules are available as placeholders; ZEP inserts them automatically into the mail content at send time.
Per text module, you maintain two fields: a Name as identification in the selection, and the Content as a formatted text block. The content is maintained in all seven supported languages (German, English, French, Spanish, Polish, Slovak, Turkish); at send time, ZEP automatically picks the variant matching the recipient language. Within the content, you can embed images and use standard placeholders and mail placeholders that are replaced with concrete values at send time.
The maintained modules then appear in every mail template as a selectable placeholder under the entry Text Modules. A change to a text module automatically affects all future mails that reference it — historical mails remain unchanged.
Change History
The Change History enables the audit logging for master-data changes. With logging active, ZEP automatically records who, when, and what was changed — valuable for compliance requirements and for the subsequent reconstruction of a configuration.
In the settings, you enable logging per master-data area through dedicated checkboxes:
Track changes of project data — logs creations, changes, and deletions on projects
Track changes of user data — logs creations, changes, and deletions on employees
Track changes of customer data — logs creations, changes, and deletions on customers
Track changes of departments — logs creations, changes, and deletions on departments
The recorded entries are then shown in the respective master objects as a history tab — per project, employee, customer, or department. So for every master record, you can see when it was created, and when which field was changed by whom.
Note: The checkboxes project data and customer data are not visible in ZEP Clock, because projects and customers are not part of that product line. The departments checkbox only appears with the add-on module Locations & departments active. The user data checkbox is visible in all product lines.
Scheduler
Under Scheduler, you maintain the central recipient list for error notifications from scheduled background tasks. If a task fails, ZEP automatically sends a notification to the addresses listed here so that errors do not go unnoticed.
In the settings, you maintain a single field The following Email Addresses will be notified about errors in performing the tasks. Multiple addresses are entered comma-separated. Useful for monitoring the technical operation of the ZEP instance through a central escalation address instead of maintaining individual recipients per task.

Appointment Mail Templates
In the Appointment Mail Templates area, you maintain the central mail templates that ZEP uses for the automated notifications around appointments. Several preset designations are available per template; the content of the message is formulated by you.
In the table, you see per template the columns Description, Subject (in the current display language), and a short preview of the Body. Via the action icon Send test mail (to your own e-mail address), you send a template as a trial per language to your own address.
Per template, you open an editing form with the following fields:
CC and BCC — copy recipients automatically included on every send
Subject and Body — each in all seven supported languages (German, English, French, Spanish, Polish, Slovak, Turkish); at send time, ZEP automatically picks the variant matching the recipient language
a file list for up to five optional attachments
Within subject and body, you can insert standard placeholders, appointment-specific placeholders, and the modules maintained under Text Modules for Emails — ZEP replaces them at send time with the current appointment and recipient values.
Note: The Appointment Mail Templates are visible in ZEP Compact and ZEP Professional. In ZEP Clock, the area is not shown because appointments are not part of that product line.
