The Offers area in the administration bundles all master data and configuration elements around offers — settings, text modules, mail templates, workflow permissions, categories, tags and articles. Reachable via the main menu under Administration > Offers. Detail workflow for offer creation is described in the Offer creation collection.
Note: The area requires the Offer management module and is available as an add-on primarily in ZEP Professional.
Workflow and content master data
These subareas control the offer creation process and the associated text modules and permissions. They form the basis of all offer workflows and affect the daily work of sales employees, project leads and management.
Settings
General settings for offer administration such as default values for new offers, automatic number ranges, default validity period of offers, activation of the workflow approval process as well as configuration of the offer list. These settings affect all offers and form the basis for individual offer creation in the detail workflow.
Text modules
Reusable text modules for offers, for example standard clauses on payment terms, liability disclaimer texts, warranty notes or delivery conditions. Per text module, designation, multilingual content and default usage position (header, footer, before positions) can be maintained. Text modules can be inserted into any offer with one click.
Mail templates
Templates for mails around offers, for example dispatch of the offer to the customer, reminders before expiration of validity, follow-up mails with missing response as well as internal notifications on status changes. Per template, subject, salutation, main body and placeholders (such as offer number, amount, validity) can be maintained, separately per language.
Workflow permissions
Configuration of approval permissions for offers, for example who can create, change, release or dispatch offers. Per status transition, permission groups can be defined, for example sales for creation, project lead for technical review and management for final approval from a certain amount threshold.
Categories
Multi-assignable categories for classification of offers, for example product type, sales channel or strategic priority. Appear as additional filters in offer reports and the offer list. Per category, designation, color and sort order can be maintained for consistent visual marking in all reports.
Tags
Freely assignable tags for flexible marking of offers. Suitable for ad-hoc classifications, for example campaign assignments, sales cycle stages or sales notes. Sales employees with appropriate rights can create and delete tags directly on the offer without opening the administration area.
Articles
List of standard articles and services that can be used as positions in offers. Per article, designation, description, default price, default unit of measure, tax rate and revenue account assignment can be maintained. The article catalog significantly accelerates offer creation and is also available in the invoicing area for invoicing.
Effects on other areas
The offer master data affects offer creation in the detail workflow of the Offer creation collection. The article catalog is also used in the invoicing area, documented in Invoicing. Offers also appear in the Dashboard of individual employees as widgets for own and team offers.
