Documents and Interfaces – Administration

Master data of document management and configuration of external interfaces — SOAP, REST, connectors, DATEV.

The Documents and Interfaces area in the administration bundles the master data of document management as well as the configuration of external interfaces. Reachable via the main menu under Administration > Documents and Administration > Interfaces. Detail workflows in the Document management and Interfaces collections.

Note: Documents require the Document management module, interfaces are standard in basic state and are complemented by modules depending on the connector.

Document master data

These subareas maintain the master data of document management, from general settings to status values to categories and tags. They form the basis of all document workflows and affect the storage of contract documents, project documents and other files in ZEP.

Document settings

General settings for document management such as maximum file size, allowed file formats, automatic versioning, permission logic for access as well as activation of full-text indexing for the search. These settings have a system-wide effect on all documents and form the basis for the central document storage in the company.

Document status

List of status values that a document can take on, for example draft, under review, approved or archived. Per status, designation, color, visibility for external persons and workflow logic can be maintained. Status values appear as filters in document lists and can trigger automatic notifications on status changes.

Categories and tags

Multi-assignable categories for structured classification of documents, for example contract, invoice, protocol or specification. Plus freely assignable tags for flexible marking. Per category, designation, color and mandatory workflow rules can be maintained, for example automatic approval requirements for specific document types.

Interface configuration

These subareas configure the interfaces to external systems, whether via SOAP, REST or the Connectors marketplace. They form the basis of all data integrations with HR systems, CRM tools, ticket trackers and external accounting applications.

SOAP

Configuration of the SOAP-based web service interface for data exchange with external systems. Per interface, interface address, authentication, data filters and synchronization logic can be maintained. The SOAP interface is suitable for classic, transaction-based data handovers with high consistency requirements.

REST

Configuration of the REST-based API interface for modern, lightweight integrations. Per interface, interface address, API key authentication, rate limits and data format mapping can be maintained. The REST interface is suitable for real-time integrations, mobile apps and cloud-to-cloud connections with modern technology.

Connectors marketplace

Overview and management of preconfigured connectors to third-party systems, for example Personio, Bamboo HR, Salesforce, Linear or Memtime. Per connector, activation, authentication and individual mapping rules can be maintained. Detail documentation on individual connectors is part of the Interfaces collection.

DATEV connection

Configuration of the DATEV integration for accounting export and master data synchronization, provided the DATEV module is booked. Per DATEV client, advisor number, client number, authentication and sync interval can be maintained. DATEV-specific workflows are part of Export for Accounting.

Effects on other areas

Document master data acts in the document storage of Document management. Interface configurations act in all automated data imports and exports, documented in the Interfaces collection. Both areas together form the integration layer of ZEP to external systems.
