Document Search

Learn how to search documents by full-text, area, time range, and tags.

Use the Document search to find a document even without knowing its exact location. You can filter by full-text, area, time range, category, tag, and status.

Open the document search

Open the main menu Documents and select Document search. The search mask shows you the filters with which you can narrow your search. The search is updated automatically as soon as you change a filter.

Available filters

The filters appear in the following order in the search mask:

Select area

Use four checkboxes to determine which areas are included in the search. By default, all areas for which you have permission are active:

  • Project documents

  • Customer documents

  • Employee documents

  • General documents

Note: In ZEP Clock, only the areas Employee documents and General documents are visible. Project and customer documents are only available in ZEP Compact and ZEP Professional.

Search term (full-text search)

In the Search term field, enter a term that should appear in the name, in the tags, or in the file content. The search is not case-sensitive and allows partial word matches.

Restrict by upload date

Activate the checkbox Restrict by upload date to display only documents from a specific time range. Then select a start and end date from the expanding date picker.

Search in old versions

By default, the document search only searches the active version of each document. Activate the checkbox Search in old versions to also include older versions in the search result. This is useful if you know that a term was contained in an earlier version of the document.

Categories and tags

You can additionally restrict the search to specific Categories or Tags. Use the selection lists to choose one or more values from the lists maintained under Administration > Master Data.

Document status

Use the Document status selection to filter by status values such as Draft, Approved, or your own statuses. The default value is Any – then all status values are taken into account.

Search result

In the search result, you see for each document the name, the area (project/customer/employee/general), the upload date, the status, as well as the assigned categories and tags. Click the name to open the document; preview, download, and editing actions are available in the action menu depending on your permissions.
