With the Taxmaro integration, you can transfer employee data and absences from Taxmaro to ZEP. Taxmaro is an HR system with a connection to payroll. Taxmaro remains the leading system for the imported data.

• Time entries: ZEP → Taxmaro, optional

Product line availability

Note: The Taxmaro interface is included in all product lines.

For setup and configuration, you need the Administration Area permission with Edit under Roles & Permissions. Administrators always have this permission.

Prerequisites

To set up the integration, you need:

Access to the Interface Marketplace in ZEP
An API Token from Taxmaro. You create it in the Taxmaro HR-Online dashboard under Einstellungen > API.
The API URL of your Taxmaro environment

Setting up the integration

In ZEP, go to Administration > Interfaces > Interface Marketplace. Select Taxmaro and click Configure.

Then configure the integration on its detail page:

API URL: the address of the Taxmaro interface. The default is https://app.taxmaro.com/api/v1.
API Token: the token from your Taxmaro HR-Online dashboard.
Import Employees: adopts employee data from Taxmaro. Active by default.
Username Generation: defines how ZEP forms the username for newly imported employees. Available are the external employee ID, the email prefix with ID, FirstName.LastName, the first letter of the first name with the last name, the email prefix on its own and the full email address. The default is the email prefix with ID.
Export Time Entries: transfers time entries from ZEP to Taxmaro. Inactive by default.
Import Absences: adopts absences from Taxmaro. Active by default.

Under Employee Defaults you find the defaults for newly imported employees:

Default Price Group: the price group code new employees receive. The default is 01. The code must exist in ZEP.
Show Cost Accounting: defines whether imported employees may view their own expense report under My Reports. Switched off by default.

Use Test Connection to check that ZEP can reach Taxmaro with the token before the first transfer runs.

Data transfer

The integration transfers the following data from Taxmaro into ZEP:

Employees

ZEP imports the following employee data from Taxmaro:

Taxmaro employee ID
Private email address
First and last name
Private phone number
Personnel number
Full address (street, postal code, city)
Date of birth
Start date
End date, if applicable

Taxmaro transfers data including private address and date of birth – information typically required for payroll processing.

Note: The interface creates the regular working time itself: 8 hours on every day from Monday to Friday, with the Standard holiday calendar, valid from the start date. Taxmaro does not provide target hours, so this value applies to all imported employees. Every synchronization resets the most recent regular working time in ZEP to these values. If the Monday hours differ, the reset regular working time starts on the day of the synchronization. Other differences, such as on other weekdays or in the holiday calendar, are overwritten in the existing entry. New employment periods receive a vacation entitlement of 30 days, because Taxmaro does not provide one. You can adjust this value per employee in ZEP.

Absences

ZEP also imports absences from Taxmaro:

Approved absences are transferred, including those adjusted in Taxmaro after approval. On every synchronization ZEP recognizes which entries are new, changed or removed in Taxmaro.

Assigning absence reasons

For an absence to arrive in ZEP, the Taxmaro absence type must be assigned to a ZEP absence reason. You make this assignment on the absence reason itself, under Administration > Overtime & absences > Reasons for Absence. There, below the Abbreviation, is the field External Connector ID. Enter the ID of the Taxmaro absence type there.

For an absence type without an assignment, ZEP transfers nothing; the synchronization still transfers all other absences. After the first synchronization, check whether the absences of all absence types in use have arrived in ZEP, and add missing assignments.

Example: Taxmaro supplies the ID of the absence type rather than its name. If the absence type for vacation in Taxmaro has the ID 12, enter the external connector ID 12 on the ZEP absence reason Urlaub. The ZEP abbreviation stays untouched.

Time entries

Data direction ZEP → Taxmaro. This transfer is inactive by default and is switched on with Export Time Entries. The date, the start and end of the working time and the remark are transferred. ZEP combines several entries of one employee on the same day into one Taxmaro record with several time periods; the first available remark then serves as the description. Entries from the previous month and the current month are included, for employees adopted from Taxmaro.

This makes the working times recorded in ZEP available in Taxmaro and for payroll, without entering them there a second time.

Synchronization and log

ZEP synchronizes the data hourly in the background. Employees and absences from Taxmaro are therefore automatically available in ZEP.

Taxmaro remains the leading system for the imported data. Make changes in Taxmaro – ZEP picks them up automatically in the next hourly sync.
