The Locations & Departments module lets you structure your company hierarchically in ZEP. You create locations and departments as organizational units, assign employees and department leaders, and establish the foundation for differentiated access rights, structured reports, and a clear organizational overview.

Product Line Availability

Note: The Locations & Departments module is included in all three product lines. The scope of features differs per product line:

ZEP Clock: Create and manage departments and locations, assign employees, define department leaders, configure basic settings, and use the dashboard widget. Reports > Departments is not available.

ZEP Compact: All features of ZEP Clock plus the Projects and Customers tab in the department view, and Reports > Departments (Hours, Employment Periods). With the Revenue & Costs module, cost reports at the department level are also available.

ZEP Professional: All features of ZEP Compact plus cost reports in Reports > Departments (Costs, Cost Allocation, Total Rates Internal).

Additional Menu Items

The module adds the following additional menu items to ZEP.

Departments

The Departments menu item allows administrators and controllers to manage the entire department and location structure of the company in a tree view. Department leaders only see the departments they manage and their sub-departments.

Administration > Departments

The Administration > Departments tile contains the following menu item:

  • Settings: Global configuration options for the module, e.g., visibility rules for department leaders, number ranges, and default filter behavior.

Additional Reports

Note: This menu item is not available in ZEP Clock. The following reports are accessible in ZEP Compact and ZEP Professional.

The following reports are available under Reports > Departments:

  • Times – Project hours report per department (ZEP Compact and ZEP Professional)

  • Costs – Cost report per department (ZEP Professional; ZEP Compact with Revenue & Costs module)

  • Cost Allocation – Internal cost allocation between departments (ZEP Professional; ZEP Compact with Revenue & Costs module)

  • Total Rates Internal – Internal labor cost report per department (ZEP Professional; ZEP Compact with Revenue & Costs module)

  • Employment Periods – Overview of employment periods per department (ZEP Compact and ZEP Professional)

Dashboard Extensions

The module adds the All annual holidays widget to the ZEP dashboard. It displays the annual leave accounts of employees per department at a glance and is visible to administrators and department leaders – department leaders only see employees from departments they manage. The widget can be filtered by department and by time period (current, last, or next year).

Distinction from other modules

Note: Departments have an effect on several other ZEP modules: With the Revenue and Costs module, department-level cost reports (costs, cost allocation, internal compensation) and a department-specific currency become available. With the Absences and Overtime module, the dashboard widget All annual holidays shows the absence balance per department. With the Invoicing module, a department-specific invoice number range can be configured.
