ZEP Self-Service Tool

In this article, you will learn how to independently manage your license and invoices in ZEP Compact/Professional, or create an individual contract directly from the trial version.

Our Self-Service Tool allows you to upgrade your trial version to a full ZEP subscription at any time — entirely on your own. If you already have a subscription, all admins in ZEP can easily add or remove users and modules, as well as view invoices — anytime, without needing to contact support.

License Management: Trial Version

If you have the ZEP trial version, the "My Trial" section will appear in the bottom left of the sidebar. Opening the "My Trial" page gives you an overview of:

  • the number of users

  • the selected modules of your trial version (green checkmark)

  • modules that can still be added to your trial version (blue +)


Trial Version Configuration

You can configure your trial version independently. To do so, click the "Trial Configuration" button — a new window will open where you can select your product line and the additional modules you need. Additional modules can be chosen individually based on your requirements. The following modules are already included in the "ZEP Professional" product line and cannot be removed:

  • Revenue & Costs

  • Travel Expense Management

  • Project Planning

Click Save to apply your changes.

Signing a ZEP Contract

The trial version has won you over and you'd like to sign a ZEP contract on your own? Great, we're glad to hear it! To do so, click "+ Conclude ZEP Contract". A window will open where you can customize your license to fit your needs.

  • Product Line: Choose between ZEP Compact and ZEP Professional.

  • Trial Modules: Select all the modules you need. The following modules are already included in the "ZEP Professional" product line and cannot be removed:

    • Revenue & Costs

    • Travel Expense Management

    • Project Planning

  • Users: Enter the number of users who require access to ZEP.

  • Contract Start: Select a date that works as your start date. The contract will be valid from this day onwards.

  • To proceed, please accept the terms and conditions, the data processing agreement, and the general terms and conditions.

The displayed monthly price is based on your selected modules and number of users.

Once you click "Next", you will be taken to the billing details configuration.

If you choose to pay by direct debit, you agree to the bank transfer by entering your banking details.

Once you have entered your billing information, the final step will take you to the summary page. Please review your details once more before placing your order. After completing the order, you will receive a confirmation by email.

License Management: Subscription License

If you already have a ZEP license and would like to make changes, the "Account" tile allows you to manage your license independently.

Navigate to Administration → Account to access the following settings:


Managing Your Subscription

Navigation: Administration › Account › Subscription

On the Subscription page, you can see at a glance:

  • The number of your current licenses and the monthly price

  • Your customer number

  • Actively licensed modules (✔ green checkmark)

  • Modules enabled for testing (+ blue plus)

  • Modules not yet licensed (+ grey plus)

  • Recent upgrades and downgrades in the history log — including the name of the admin who made the changes

The entry "Created by ZEP" in the history log indicates that the ZEP team made the adjustments on your behalf.

Editing Your License

Click "Edit License" to open an additional window.

There you can make the following changes:

  • Increase or decrease the number of users

  • Add or remove modules

  • View the new monthly price in real time (bottom right of the window)

Valid Dates for Changes

Please note the applicable cut-off dates in accordance with our terms and conditions:

  • Upgrades: on the 1st and 15th of the month — retroactive changes are possible

  • Downgrades: exclusively on the 1st of a future month. Downgrades can also be scheduled in advance — useful if you already know that an employee will be leaving the company. Please remember to cancel any scheduled changes in time if they are no longer needed, as the system will otherwise process the downgrade automatically.

  • Scheduled changes are not applied immediately but on the specified date.

Completing Your Order

To successfully complete a license change:

  1. Accept the terms and conditions

  2. Review your billing details

  3. Click "Next" — you will receive a summary of your changes

  4. Confirm with "Order for a fee"

Confirmation Email: After placing the order, both the executing admin and the email address stored for billing purposes will receive an order confirmation.

Testing Additional Modules

You have the option to test additional modules free of charge. To do so, click the "+ Test Additional Modules" button.

A module can be tested free of charge and without obligation for 14 days. After the trial period, it will be removed automatically. Each module can only be tested once.

Cancelling ZEP

Would you like to cancel your ZEP license? This is possible at any time via the "Cancel ZEP" button — but before you take this step, please reach out to us first. Contact our support team via chat or directly by email at: [email protected]

Viewing Invoices

Navigation: Administration › Account › Invoices

Under this menu item you can:

  • View your recent invoices at a glance

  • Download invoices as PDF

Managing Invoice Data

Navigation: Administration › Account › Invoice Data

Under this menu item, you can update your billing details (e.g. company name, address, VAT ID) at any time. Simply click the "Change Settings" button to make your adjustments.
