Creating holiday calendars

If you have employees at different locations (e.g. in different federal states), you can define separate holiday calendars for each of them. Click on the button + Create new holiday calendar and enter a name, a description if necessary, and save.

Entering holidays for the first time

If you click on the Calculate holidays for [calendar name] Holidays for [year] button after creating a holiday calendar, you can specify for which country (Germany, Austria or Switzerland) and for which region (federal state, canton) the holidays should be calculated.

You can then edit the list of public holidays if necessary by adding missing public holidays ( Enter new public holiday for [calendar name] ) and deleting invalid ones (trash can symbol). This may be necessary if there are other regional public holidays or if there are public holidays according to a collective agreement.

If ZEP determines that absences (e.g. vacation) have already been entered on a public holiday to be generated, the calculation of the public holidays is rejected with a corresponding error message. You can find out which employees have entered absences via Employees > Evaluation > Absence overview . Delete these absences and start the calculation of the public holidays again.

Only with Overtime, Absence & Holiday module:

You can optionally specify whether holiday and special time bonuses should be shown as time bonuses and added to the overtime account (under Administration > Settings > Overtime, Absences, Vacation ). These time bonuses are calculated from the date the overtime, absences and vacation module is introduced or from the last month-end closing performed.

You can change the value and the surcharge in percent (default "0") for each public holiday. This information will be used in the public holiday calculation for subsequent years.

When entering an additional holiday , you can

specify a fixed date, e.g. July 4th for American Independence Day or December 31st for New Year's Eve
select a movable holiday, i.e. a holiday that falls on a different date each year, e.g. Easter Monday, Ash Wednesday, etc.
When copying holidays from one year to the next year, the movable holidays are transferred to the correct date in the New Year.

The value of a holiday determines the target working time on that day

Full holiday: the target working time is 0.
Half holiday: the target working hours of an employee are half of the regular working hours that he would have on that weekday.
Max. hours: Some public holidays, e.g. in Switzerland, stipulate that an employee must work a maximum of 6 hours on that day. If you tick "Max. hours", enter this maximum number. The target working hours of an employee on that day are then this number, but not more than the employee's regular working hours on that weekday.

Holiday surcharge

If work was carried out on a public holiday, the surcharge also applies the following day until xx:xx o'clock.

Work between midnight and midnight on the respective public holiday is considered public holiday work. Work on the following day from midnight to x hours is also considered public holiday work if the shift began on the public holiday.
