The Resource Planning module adds several reports under Employees and Projects as well as on the respective detail pages. All reports can be filtered by employee, project, or period and exported as Excel or CSV.
Tip: Details on export formats, background execution, and column configuration are described in the article Tips and tricks in operation.
Employee reports
Under Reports > Employees > Resource Planning, six reports are available. They are visible to Administrators, Controllers, and Department managers for the employees of their department.
Planning
Shows the planned hours per employee and project in the selected period. You can choose between three display modes: hour table (absolute values per day), percent table (share of the daily capacity), or stacked column chart (visual comparison of multiple employees at once). Below the table, the day total across all projects is shown, so you can immediately spot overloaded days.
Scheduling/actual comparison
Sets planned hours against actually booked hours per employee and project. Per row, you see plan, actual, the absolute deviation, and the percentage plan/actual ratio. Over- and under-fulfilment are colour-highlighted, so you can directly circle critical projects via the filter. Useful for regular review meetings to steer plans.
Work Packages
Lists all work packages of all employees with title, planning object (project, task, ticket, or subtask), planned effort, actual effort, remaining effort, work factor, period, and current status. The filter allows narrowing down by status (escalated, critical, uncritical, done) and by employee. Useful as a central steering view for department managers who need to keep multiple parallel projects under control.
Workload (work packages)
Aggregated work factor per person and day, derived from all work packages of the period. The report shows two graphical layers on top of each other:
A grey area represents the employee's availability per day in hours (regular working time minus absences and holidays). On hover over the grey area, the hour value appears.
Brown bars on top show the workload generated by work packages. On hover, the workload percentage appears. If the brown bar exceeds the grey area, the employee is overloaded.
Select an individual work package via hover over the list, and ZEP highlights the corresponding share as a dark-brown section within the bar.
Optionally, activate the listing per project to see from which projects the workload of each day stems.
Employment level
Shows the employment level of employees across the selected period, based on the stored regular working times. Useful with changing working-time models (part-time, parental leave, sabbatical) to correctly include the proportional availability in plan discussions.
Note: The Employment level report only appears when the Absences and Overtime module is not active. With this module active, the employment level is covered there via the regular-working-time logic and is not additionally shown in Resource Planning.
Available capacity
Shows the remaining available working time per employee and day, minus all existing schedulings, absences, and holidays. Especially useful when taking on new orders or for short-term redistributions, because you immediately see which employees are still available for which days.
Project reports
Under Reports > Project > Resource Planning, four project-related reports are available. They are visible to Administrators, Controllers, and Project managers with budget responsibility for the respective projects.
Planning
Planned hours of all employees in the project, shown as a table or stacked column chart. Filterable by one or more projects and the period. Useful as a plan snapshot before project reviews or as a data basis for status reports.
Scheduling/actual comparison
Sets the planned hours against the actually booked hours per employee in the project. Helps steering project budgets and spotting employees who systematically work above or below plan.
Work Packages
All work packages in the project with status overview, plan/actual values, remaining-effort estimates, and work factor per package. The filter allows narrowing down to specific employees, tasks, or status. The central steering view at project level.
Workload (work packages)
Visualizes the workload of the project employees over time, structured identically to the employee report (grey availability area, brown workload bars, hover tooltips). Shows the project workload, that is only the share from this single project, separately from the employee's overall workload. This way you see whether the load comes from this project or from others.
Reports on the detail pages
On the detail pages of individual employees, projects, and customers, additional report entry points are available. They show the same data as the overarching employee and project reports, automatically filtered to the respective person, project, or customer.
Employee detail page
Under Employees > [person] > Resource Planning, three entries appear:
Planning: the personal scheduling matrix, identical to the employee's own view in the main menu.
Work Packages: all work packages of the person with the filter and visualization options from the employee report.
Project time history: time-based history of the booked project times of the person, optionally as a percentage share per project. Useful for distribution-pattern comparison over longer periods.
Project detail page
Under Projects > [project] > Resource Planning, four entries appear. The first three are analogous to the employee detail page, plus one project-specific report:
Planning: the project-centric scheduling matrix with all project employees.
Work Packages: all work packages of the project.
Project time history: time-based history of the booked project times of all project employees.
Planning overview: places scheduling and work-package plan figures side by side for the entire project duration. The evaluation period is project start to project end (if specified) or the latest date of all schedulings, work packages, tasks, and employee assignments. Columns per task: planned hours project and task, total actual hours, and planned hours in work packages including the remaining-effort estimate. With the Ticket System module active, the overview can be expanded at ticket and subtask level, and the columns are configurable.
Customer detail page
Under Customers > [customer] > Work Packages, the cross-project list of all work packages of this customer appears, including customer work packages (long-term planned efforts across the entire customer engagement, without a direct booking option). Visible to users with change rights on the customer.
